Land Solutions Document Management Specialist

Location: Independence, OH or Southfield, MI (preferred) | Remote flexibility based on experience

Atwell's Land Solutions team is growing, and we're looking for a Document Management Specialist to support active projects across transmission, pipeline, and renewable energy markets. This is a detail-driven, operations-focused role where your ability to manage title, lease documentation, and project files directly impacts the success and timing of land acquisition efforts. You'll serve as a key partner to Project Managers and Land Agents -- ensuring documents are accurate, compliant, and delivered on time across a high-volume project environment.

Responsibilities

Title & Deed Research

  • Review real estate records to establish chain of title and confirm authorized signatories
  • Conduct deed research using county records and online databases
  • Coordinate with title companies to obtain accurate and timely documentation
  • Support Land Agents by identifying additional title or curative requirements

Lease & Document Preparation

  • Prepare, review, and quality-check leases, easements, and land agreements using client-approved templates
  • Ensure all documents meet county recording standards and client requirements
  • Review GIS exhibits to confirm parcel accuracy within agreements
  • Assemble execution packages and manage document tracking through completion

Project & Workflow Coordination

  • Maintain organized and compliant project files in accordance with Atwell standards
  • Track document turnaround times and communicate status updates to Project Managers and team leadership
  • Coordinate with GIS and shared services teams to align on deliverables and timelines
  • Support workflow management, prioritization, and issue resolution across multiple active projects

Land Acquisition Support

  • Assist with landowner research and contact verification as needed
  • Support landowner packet preparation and public meeting coordination
  • Maintain and update project databases (e.g., geoAMPS, FlairDocs)

Qualifications

  • 2+ years of experience in title research, abstracting, or right-of-way documentation
  • Strong understanding of real estate documents, deeds, and title review processes
  • Experience supporting land acquisition, pipeline, transmission, or renewable energy projects preferred
  • Proficiency in Microsoft Office and document management systems
  • High attention to detail with the ability to manage multiple priorities in a fast-paced environment
  • Strong communication skills and ability to work cross-functionally with field and office teams

Education

  • Bachelor's degree required
  • Background in real estate, title, or land administration strongly preferred
