Job description

The Data Management Specialist is responsible for ensuring the accuracy and integrity of the philanthropy biographical and demographics data. This role manages data collection, validation, maintenance, and data quality processes to support operational efficiency and informed decision-making. The Data Management Specialist works closely with internal stakeholders to develop and maintain data standards, identify and resolve data quality issues, and ensure compliance with BILH Philanthropy policies and applicable regulatory requirements.

Job Description:

Essential Duties & Responsibilities including but not limited to:

1. Manage and maintain data and records to ensure accuracy, completeness, and consistency, which includes:

  • Creation and management of the SharePoint media file

  • Coordination of data append services and other data quality projects (NCOA, Deceased process)

2. Perform data entry, validation, cleansing, data hygiene, and data quality activities, which include:

  • Triaging data request tickets

  • Processing the ascend Interim requests

  • Performing duplicate record merges

  • Conducting data cleanup projects

  • Handling bulk data imports

3. Monitor data integrity and identify, investigate, and resolve data discrepancies. Conduct periodic audits to verify data accuracy and identify opportunities for process improvements.

4. Develop and document data management procedures, standards, and best practices.

5. Collaborate with cross-functional teams to collect, organize, and maintain data from multiple sources, which includes:

  • Updating leadership and board lists

  • Processing returned mail

  • Researching new addresses

6. Ensure compliance with organizational policies, regulatory requirements, and data governance standards.

7. Assist users with data-related inquiries, troubleshooting, and training.

8. Support data migration, system implementation, and process improvement initiatives.

9. Participate in projects involving data integration, reporting enhancements, and workflow automation.

10. Serve as the backup resource with creation and maintenance of campaigns, events, funding interests, and other such related data administration tasks.

11. Other tasks as assigned.

Minimum Qualifications:

· Bachelor’s degree, preferably in Information Management or equivalent professional experience.

· Strong working knowledge of data management for CRM systems, online databases, and office productivity tools.

· Familiarity with philanthropy CRM platforms (preferably the Kindsight ascend CRM) and event registration systems.

· At least 2–3 years of hands-on experience managing data and records in a Salesforce platform.

· Experience with data quality, data governance, and reporting processes.

· Strong ability to analyze data needs and business process requirements, troubleshoot issues, and implement effective solutions.

· Ability to manage multiple priorities and work independently with minimal supervision.

· Demonstrated experience working with cross-functional teams, providing user support and training, and documenting systems and processes.

· Strong interpersonal skills with the ability to engage and collaborate effectively with stakeholders from diverse professional and cultural backgrounds.

· Demonstrated ability to exercise tact, sound judgement, diplomacy, maintain confidentiality, and handle sensitive information with discretion.

· Motivated and adaptable team player, capable of working independently and collaboratively within a dynamic environment.

· Commitment to work as a Philanthropy team member based on the service values of respect, responsiveness, courtesy, accuracy, accountability, and timeliness.

Physical Requirements & Environment:

· Standard office environment with extensive computer use.

· Work is performed in an office, hybrid, or remote environment, with moderate noise levels and regular collaboration with Philanthropy staff.

· May occasionally require collaboration with Philanthropy teams on-site.

Pay Range:

$70,000.00 USD - $95,000.00 USD

The pay range listed for this position is the annual base salary range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law.
