Reporting to the Manager of Enterprise Payroll, the Payroll Specialist supports the day-to-day in a pay cycle reviewing all phases of hourly and salary payroll to include managing the data entry process, auditing, and finalizing payrolls operations across the Workday payroll team. The Payroll Specialist is the first point of contact regarding payroll forms, union payroll correspondence and payments, employee garnishment and child support payments, employee payroll tax forms and post payroll activities as well as managing the data entry/audit process for direct deposit, employee tax setup for payroll, employee tax forms, Fresh Service ticketing system and post payroll reporting and data collection for audit requests.

*This role is remote, with occasional travel into the Indianapolis, IN offices. Qualified candidates must currently reside within 75 miles of the Indianapolis, IN area*
Essential Functions

  • 80% Payroll and Payroll Tax Support
  • Maintains knowledge & understanding of applicable state and federal payroll and related tax regulations, legislation and guidelines including, but not limited to writs of garnishment, child support, levies, and subpoenas.
  • Reviews, analyzes, and verifies payroll reports and documents for accuracy before
  • Review information received through various methods for paycheck processing with Workday software to answer any questions from employees
  • Completes accurate payroll entry, processes, corrections, distribution, scanning, etc.
  • Creates lay-off checks and off-cycle checks, as needed.
  • Processes final pay checks and recovery of overpayments based on state regulations
  • Administers employee wage garnishments and child support deductions
  • Completes monthly union check requests and coordinate timing of system updates to avoid payroll disruptions
  • Assists in researching and resolving employee pay issues
  • Responds to employee requests for written wage verification, etc.
  • Demonstrates accuracy and thoroughness and ensures quality of own work
  • Prioritizes and plans personal work activities to effectively utilize time
  • Maintains confidentiality and the highest degree of integrity
  • Responsible for managing the daily payroll inbox through Fresh Service ticketing system
  • Processes and verifies new hire/termination payroll data and setup, including but not limited to pay cards and/or direct deposit requests
  • Process Earnings and Deduction upload files (i.e bonus payments, seed money, gift cards, etc.)
  • Reviews and verifies payroll reports and documents for accuracy before uploading 3rd party files for 401K, H S A, Taxes, Union reports, Expert Pay Child Support files, garnishments, banking, positive pay, GL Reports, etc.
  • Gathers data for any audit requests related to unions, etc.
  • Constantly maintain payroll data integrity for accuracy as well as work cross-functionally across other HRSS teams
  • 20% Process Improvement
  • Strives to identify continued efficiencies and processes to limit manual transactions
  • Assist Payroll Department in any projects and special assignments, as required.

Education Qualifications

  • Required High School or equivalent experience


Experience Qualifications

  • Required 3+ years direct payroll processing experience
  • Required experience in union work environment
  • Required working experience in Workday HCM
  • Required experience utilizing Microsoft Excel
  • Preferred professional experience utilizing AI tools
