Position Summary
The Healthcare Program Administrative Assistant provides administrative, operational, and member support for Northwind wellness programs. This role is responsible for coordinating enrollment activities, supporting program implementations, facilitating communication with providers and members, and assisting internal teams to ensure a positive member experience and successful program execution. The ideal candidate is highly organized, detail-oriented, customer-focused, and able to manage multiple priorities in a fast-paced healthcare environment.
Essential Responsibilities
Program Enrollment & Member Support
- Coordinate and schedule member enrollment and onboarding calls for healthcare programs.
- Ensure timely completion of enrollment-related activities during program implementation.
- Conduct outreach to eligible and unengaged members to encourage participation and enrollment.
- Assist members with program-related questions and escalate concerns as appropriate.
- Support a positive first-member experience through proactive communication and follow-up.
Provider & Clinical Coordination
- Coordinate with healthcare providers to obtain prescriptions, prior authorizations, and required documentation.
- Assist in tracking outstanding provider requests and follow up to ensure timely completion.
- Maintain accurate records of provider communications and member enrollment status.
Program Tracking & Implementation Support
- Monitor and track enrollment progress to ensure implementation timelines and program goals are achieved.
- Identify barriers to enrollment, access, or implementation and escalate concerns to leadership as appropriate.
- Support program launch activities and collaborate with internal teams to ensure successful go-live execution.
- Maintain implementation trackers, and program documentation.
Administrative Support
- Prepare, maintain, and update reports, spreadsheets, and member RxSteward profiles.
- Schedule meetings, coordinate calendars, and document meeting notes and action items.
- Assist with preparation of presentation materials, program communications, and member outreach campaigns.
- Support invoicing, data entry, and other operational processes as needed.
- Assist with quality assurance and auditing of program data.
Team & Operational Support
- Partner with clinical, implementation, client services, member services, and operational teams to support program objectives.
- Assist leadership with special projects and process improvement initiatives.
- Support reporting and data collection efforts related to program performance and engagement.
Additional Responsibilities
- Perform other administrative, operational, and program support duties as assigned or delegated.
- Adapt to changing program needs and assist with departmental priorities as required.
Qualifications
Education & Experience
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Minimum 1–3 years of administrative, healthcare, customer service, or program coordination experience preferred.
- Experience working in healthcare, pharmacy, wellness, population health, or benefits administration is a plus.

- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).

- Ability to work independently and as part of a collaborative team.
