Position Summary
The Operations Team Leader supports the Operations and HR Director in advancing the organization's mission by ensuring efficient internal operations and effective human resources practices. This role also provides day-to-day oversight and coordination of the clerical team, ensuring administrative functions are completed accurately, efficiently, and in alignment with organizational priorities.

Responsibilities

Human Resources Support

  • Assist with recruitment and hiring processes, including posting positions, coordinating interviews, and communicating with candidates
  • Support onboarding and offboarding processes with a focus on mission, culture, and employee experience
  • Maintain accurate and confidential personnel records in compliance with nonprofit and grant requirements
  • Help ensure compliance with employment laws and nonprofit-specific regulations and policies
  • Partner with the Operations and HR Director on performance management, staffing needs, and workflow improvements
  • Coordinate staff trainings, professional development, and employee engagement initiatives
  • Coordinate recruitment, onboarding and curriculum for volunteers, interns and law clerks

Operations & Program Support

  • Assist in developing and documenting internal processes that improve efficiency and accountability
  • Support coordination of operational and program-related projects
  • Help track deliverables, vendor contracts, and organizational goals
  • Maintain office operations, including supplies, vendor coordination, and facility needs with attention to responsible use of nonprofit resources
  • Assist in the inventory control of IT and related equipment (desktops, laptops, cameras, projectors, and personal equipment)
  • Monitors equipment (copier, printers) and assists in resolving minor problems/contacts support for repairs.

Clerical Team Coordination & Supervision

  • Provide day-to-day oversight and assist when needed with clerical team
  • Assign, prioritize, and monitor clerical workloads to ensure timely and accurate completion of tasks
  • Serve as the primary point of contact for clerical staff questions, guidance, and support
  • Train, onboard, and coach clerical team members
  • Monitor performance and provide feedback to support development and accountability
  • Ensure consistent administrative processes and adherence to organizational standards

Administrative & Organizational Support

  • Provide scheduling and administrative support to the Operations and HR Director
  • Provide PAIMI Advisory Committee (PAC) admin support to the Associate Advocacy Director
  • Assist with internal communications, policies, and staff updates
  • Help coordinate organization-wide meetings, events, and trainings
  • Manage and provide user support, troubleshooting, and basic system administration for organizational technology platforms, including NetDocuments and VoIP services.

Qualifications

Required Qualifications

  • 24 years of experience in operations, administration, or nonprofit work preferred
  • Advanced working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Forms, SharePoint, Outlook), including data management, reporting, and presentation development
  • Ability to learn and adapt to new technologies, platforms, and organizational software quickly
  • Commitment to the organization's mission and values
  • Strong organizational and leadership skills
  • Ability to supervise, coach, and support team members effectively
  • High level of confidentiality and professionalism
  • Excellent communication and interpersonal skills

Preferred Qualifications

  • Bachelor's degree in Business Administration, Nonprofit Management, or related field (or equivalent experience)
  • Experience working in a nonprofit or mission-driven organization
  • Familiarity with grant-funded programs and reporting requirements
