Summary:

The Project Administrator serves as the ultimate operational engine and strategic administrative partner to the Chief Executive Officer (CEO). This hybrid role is designed for a high-visibility performer who can seamlessly transition from managing complex executive workflows to transforming long-term corporate vision into measurable operational reality.

Functioning as the primary point of contact for the CEO, this individual manages executive gatekeeping, coordinates global project lifecycles, and dismantles organizational silos. Operating within a fast-paced manufacturing environment, they ensure the company’s leadership is seamlessly supported while driving high-priority, cross-functional initiatives centered on strategic ROI.

Role & Responsibilities:

Strategic Project Management & Execution

  • Project Lifecycle Management: Oversee the entire lifecycle of strategic initiatives, corporate roadmaps, and R&D development projects from initial feasibility to post-launch optimization.
  • Global Coordination: Lead remote teams across multiple time zones, adapting frameworks to fit diverse regional customs, regulatory environments, and supply chain timelines.
  • Cross-Functional Alignment: Translate 3–5 year corporate roadmaps into actionable workstreams; drive internal process adoption across varied departmental cultures using "influence without authority."
  • Risk & Bottleneck Mitigation: Proactively identify and mitigate geopolitical, economic, or operational risks and bottlenecks threatening project delivery or global supply chains.

Executive Administration & C-Suite Partnership

  • Shared Leadership Support: Provide high-level administrative, analytical, and strategic support across the Executive Leadership Team (ELT) to ensure organizational alignment and focus on high-level operational goals.
  • CEO Approval Pipeline: Act as the primary conduit for executive deliverables, synthesising data and preparing high-stakes proposals, briefs, and reports from across the leadership team to present to the CEO for final sign-off.
  • Calendar & Workflow Mastery: Exercise expert judgment in prioritizing the CEO’s calendar, balancing internal production and operational demands with external stakeholder requirements.
  • Executive Presentations & Reporting: Synthesize complex data sets, project metrics, and financial spreadsheets into sophisticated dashboards, high-level briefings, and PowerPoint presentations for Board and C-suite reviews.
  • High-Stakes Communication: Manage and draft high-level internal and external correspondence, ensuring the CEO’s voice and corporate branding remain consistent across all platforms.
  • Logistics & Event Orchestration: Coordinate complex domestic and international travel itineraries (including visas and multi-leg transit) and oversee executive events like annual shareholder meetings, leadership retreats, and town halls.
  • Professional Liaison: Serve as a seamless professional conduit between the CEO and department heads, global partners, and vendors.

Education & Experience

  • Required: Bachelor’s degree in Business, Engineering, or a related operational field.
  • Experience: 5+ years of progressive experience combining enterprise-level project management, strategic operations, or management consulting with high-level administrative support for C-suite or senior executives.
  • Industry Context: Prior experience within a manufacturing or industrial environment is strongly preferred, demonstrating a solid grasp of production schedules, safety standards, and supply chain operations.
  • Autonomy: Proven ability to operate with high independence under minimal supervision, handling complex, sensitive, and confidential information with absolute discretion.

Functional/Technical Knowledge, Skills & Abilities:

  • Project Management Tools: Advanced proficiency in enterprise project management tools (e.g., JIRA, Smartsheet, MS Project) and ERP systems.
  • Business Acumen: Strong ability to read and interpret detailed reports, legal documents, P&L statements, and ROI projections.
