Remote Customs Clearing Agent information

What is a remote customs clearing agent?

Remote Customs Clearing Agents are professionals who manage the process of clearing goods through customs from a remote location, often working online or from home. They ensure that all import and export documentation complies with government regulations and help resolve any issues that may arise during the clearance process. These agents communicate with clients, customs officials, and shipping companies to facilitate the smooth movement of goods across international borders. Their work is crucial for businesses engaged in global trade, helping to avoid delays and minimize additional costs.

What are the key skills and qualifications needed to thrive as a remote customs clearing agent?

To thrive as a Remote Customs Clearing Agent, you need in-depth knowledge of customs regulations, import/export compliance, and relevant documentation, typically supported by experience in logistics or freight forwarding. Familiarity with customs clearance software, electronic data interchange (EDI) systems, and trade compliance platforms is essential. Strong attention to detail, problem-solving abilities, and effective communication skills help agents manage documentation and coordinate with clients and authorities. These skills ensure accurate, timely clearance of goods and minimize costly delays and compliance issues in international trade.

What are some common challenges faced by remote customs clearing agents, and how can they be managed effectively?

Remote Customs Clearing Agents often encounter challenges such as navigating complex international regulations, handling tight deadlines, and coordinating across different time zones with clients and customs officials. Staying up to date with changing import/export laws and maintaining clear communication with stakeholders are essential for success. Leveraging digital tools for document management and utilizing reliable channels for real-time updates can help manage these challenges and ensure smooth clearance processes.

You are detail-oriented, comfortable working under time pressure during conversion windows, and able to coordinate across many stakeholders while maintaining clear status reporting and documentation. This is a remote role in a dynamic, fast-paced environment.

Key Responsibilities

Partner Management

  • Serve as a key operational point of contact for Alpaca's Broker API partners to facilitate and manage the inbound asset migration process
  • Project manage the asset migration lifecycle from beginning to end
  • Build strong relationships with partner firms to ensure smooth day-to-day operations and issue resolution.

Conversion & Integration Management

  • Lead onboarding and conversion of introducing brokers and RIAs from other clearing or custodial firms.
  • Coordinate operational setup, documentation, and system integration for new partner firms.
  • Develop and maintain repeatable playbooks and documentation for conversion and integration processes.
  • Partner with compliance, product, and engineering teams to identify and resolve conversion gaps or issues.
  • Reconcile migrated assets and ensure accuracy
Qualifications

Required

  • 3–5 years of experience in brokerage operations, clearing, or account transfer operations.
  • Hands-on experience with account transfers (ACATS), DTC settlements, and broker-dealer back-office workflows.
  • Experience building, validating, or reconciling conversion/migration files
  • Strong attention to detail and comfort working with large datasets in Excel or Google Sheets.
  • Ability to manage multiple deliverables under deadline pressure, including weekend and off-hours conversion windows.
  • Clear written and verbal communication; able to coordinate across technical and non-technical stakeholders.
  • FINRA SIE required; Series 7 or ability to obtain within 180 days of employment.

Preferred

  • Direct experience supporting broker-dealer or RIA conversions from other clearing or custodial firms.
  • Familiarity with ACATS lifecycle, DTC deliveries, SPOs, journals, and ledger uploads.
  • Experience with fractional shares, cost-basis/tax-lot transfers, and residual account handling.
  • Exposure to clearing firm platforms (e.g., Pershing, Apex, NFS, DriveWealth) or similar custodial environments.
  • Working knowledge of FINRA/SEC requirements related to account transfers and customer asset protection.
  • Experience coordinating with external partners and contra firms during high-volume migration events.
  • Comfort reading SQL queries or working with engineering teams on data validation (not required to write production code).
