Job description

Summary:

The Coordinator, Data Operations plays a key role in strengthening donor engagement and advancing animal welfare by ensuring the accuracy, quality, and execution of critical data operations that support fundraising and stewardship efforts.

The Membership team supports donor engagement, fundraising, membership, and stewardship efforts by leveraging data, analytics, and operational excellence to improve outcomes and advance the organization’s mission to improve animal welfare and prevent cruelty.

What You’ll Do

The Coordinator, Data Operations supports donor engagement and stewardship efforts by ensuring the timely and accurate execution of campaign, acknowledgment, and fulfillment processes. Working closely with the Membership, Fundraising, and Data teams, this position is responsible for executing recurring audience selections, supporting fulfillment activities, maintaining data quality standards, and assisting with reporting and analytics initiatives.

This role is ideal for an early-career professional who enjoys working with data, has strong attention to detail, and is interested in developing analytical and technical skills in a mission-driven environment. The coordinator will contribute to efforts that strengthen donor engagement and support the organization's work to improve animal welfare and prevent cruelty.

This position is a remote role with occasional travel up to 5% to ASPCA locations.

Compensation

The target hiring range is based on where the employee works, which for remote roles is the employee’s primary location of residence, and its respective cost of labor.  You can view which zone applies to you based on your location (aspca.app.box.com/v/aspcazonetable). Starting pay for the successful applicant will depend on a variety of factors, including but not limited to education, training, experience, location, business needs, internal equity, market demands or budgeted amount for the role. The target hiring range is for new hire offers only, and compensation may increase beyond the maximum hiring range based on performance over time. The maximum of the hiring range is reserved for candidates with the highest qualifications and relevant experience. The expected hiring salary ranges for this role are set forth below and may be modified in the future. 

Zone 1 - $29.33 - $29.81 / hour

Zone 2 - $32.36 - $32.88 / hour

Zone 3 - $35.58 - $36.16 / hour

Responsibilities:

Campaign & Fulfillment Operations


  • Prepare, validate, and distribute donor data files to support campaign execution, donor communications, and fulfillment activities.
  • Produce audience counts and volume projections to support production planning and operational decision-making.
  • Maintain and update data selection processes to accommodate evolving business requirements, campaign strategies, and testing initiatives.
  • Coordinate the timely delivery of files and data outputs to internal stakeholders and external production partners.

Data Quality & Process Management

  • Perform quality assurance reviews to ensure data accuracy, completeness, and consistency across all deliverables.
  • Monitor recurring workflows and identify opportunities to improve efficiency, reliability, and documentation.
  • Support data governance and data integrity standards across stewardship and fulfillment operations.
  • Troubleshoot data issues and collaborate with team members to resolve discrepancies.

Reporting & Analytics Support

  • Generate recurring and ad hoc reports that track fundraising, digital engagement, and donor performance metrics.
  • Support analysis of email, SMS, online fundraising, and campaign performance results.
  • Assist in collecting, organizing, and validating data for strategic planning, and performance reviews.
  • Help identify trends, anomalies, and opportunities through data analysis and reporting.

Collaboration & Communication

  • Partner with internal teams and external vendors to ensure data-related deliverables are completed accurately and on schedule.
  • Communicate effectively regarding project status, timelines, and data requirements.
  • Provide operational and analytical support to fundraising and membership teams as needed.
  • Other duties as assigned by manager.

Qualifications

  • Advanced proficiency in Microsoft Excel, including data manipulation, analysis, and reporting.
  • Strong attention to detail and commitment to data accuracy.
  • Strong organizational, time management, and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficient in Salesforce or another CRM platform (Preferred).
  • Proficient in Power BI or other data visualization tools (Preferred).
  • Basic knowledge of Python, R, SAS, or other analytical programming languages (Preferred).
  • Experience supporting fundraising, membership, nonprofit, or donor engagement programs (Preferred).

  • Bachelor’s degree or equivalent combination of education and experience.
  • Minimum of 1 year of experience working with large-scale databases, CRM systems, or data management tools.
  • Minimum 1 year of experience writing SQL queries and the ability to work with structured datasets
