Job description

The Corporate Contracts & Procurement team of Applied Research Associates, Inc. (ARA) is seeking a Staff Subcontract Administrator. This is a virtual position that will support the dedicated employees and leaders who have made ARA the success it is today. Our team’s mission is to provide procurement expertise through communication and collaboration while allowing our technical partners to focus on delivering results. To qualify for this role, candidates must possess a Bachelor’s degree (in lieu of experience), an Associate’s degree combined with 1 to 3 years of experience, or 3 or more years of experience with no degree, along with familiarity with FAR/DFAR-based government procurement. We are looking for a Staff Subcontract Administrator who is a self-starter with excellent communication skills, outstanding customer service, is detail-oriented, and thrives working in a team environment. The successful candidate is passionate, results-driven, and committed to excellence and continuous improvement.

What you’ll do as a Staff Subcontracts Administrator

  • Deliver Cradle-to-Grave subcontract support from solicitation through subcontract closeout
  • Collaborate with Subcontracts teammates and Program Managers (PM’s) to identify and define subcontracting requirements, provide guidance concerning the required subcontract type (FFP, CPFF, T&M, etc.), and completion of all required backup documents to initiate and execute subcontract actions
  • Ensure that the subcontract is consistent with legal requirements, customer specifications and government regulations
  • Assist the Senior Subcontract Administrators in providing training to PM’s and other program support staff on subcontracting processes, compliance requirements, and best practices
  • Prepare and disseminate critical subcontract status updates, risk assessments, compliance findings, modifications, deviations, claims, terminations, and closeout actions
  • Stay current on regulatory changes, legislation, and industry best practices
  • Build and maintain positive relationships with division partners and subcontractors
  • Provide support and/or requests for information to co-workers, subcontractors, and auditors
  • Interact daily with internal and external customers

 

 Staff Subcontracts Administrator Requirements

  • Possess familiarity or fundamental knowledge of a cradle-to-grave federal subcontracting environment, beginning with the solicitation phase and ending with subcontract closeouts.
  • Demonstrated knowledge/experience in FAR/DFARS requirements
  • Demonstrated knowledge/experience in negotiation and development of subcontracts
  • Experience with government subcontract file documentation including CPSR requirements for federal acquisitions
  • Experience in a high-volume subcontract administration environment
  • Experience with various contract types including CPFF, FFP, T&M, and CR
  • Ability to create and edit files in Microsoft Word, Adobe Acrobat, Excel to create and edit documents

Staff Subcontracts Administrator Preferences

  • SharePoint experience
  • Experience using Deltek and/or CostPoint

     

    Education and Experience

    • 1-3 years of related experience with an Associate’s degree
    • 3 years minimum of related experience in lieu of a degree
    • Bachelor’s degree in lieu of experience
