We are seeking a detail-oriented and client-focused Client Service Associate (CSA) to join our Registered Investment Advisor (RIA) firm. The CSA serves as a key point of contact for clients and plays an integral role in delivering an exceptional client experience. This position supports financial advisors through account administration, client communications, operational coordination, and relationship management activities. The ideal candidate is highly organized, proactive, and committed to providing outstanding service while helping ensure the efficient operation of the advisory practice.
Responsibilities
Client Service & Relationship Support
  • Serve as a primary point of contact for client service requests and inquiries.
  • Build and maintain strong client relationships through timely and professional communication.
  • Assist clients with account maintenance, paperwork, and service-related needs.
  • Coordinate client meetings and prepare meeting materials.
  • Follow up on action items to ensure timely completion and a seamless client experience.

Account Administration
  • Prepare and process account opening, transfers, beneficiary updates, distributions, and other account-related documentation.
  • Monitor account paperwork for completeness and accuracy.
  • Coordinate with custodians and third-party providers to resolve operational issues.
  • Track account transfers and ensure efficient onboarding of new clients.

Advisor Support
  • Assist advisors with client review preparation and follow-up activities.
  • Generate reports, performance summaries, and client correspondence.
  • Maintain accurate client records within CRM and portfolio management systems.
  • Support implementation of financial planning and investment recommendations.

Operations & Compliance
  • Maintain client documentation in accordance with firm policies and regulatory requirements.
  • Assist with compliance-related administrative tasks.
  • Ensure data integrity across client management systems.
  • Participate in process improvement initiatives to enhance operational efficiency.
  • Assist with maintaining Addepar platform for family wealth insights clients.
  • Perform investment pricing for Baker Tilly audit group.

Qualifications
Required
  • Bachelor's degree required.
  • 3+ years of experience, ideally in financial services, wealth management, banking, or client service.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office Suite.

Preferred
  • Experience working in an RIA, wealth management, or investment advisory environment.
  • Familiarity with custodial platforms such as Schwab, Fidelity, or Pershing.
  • Experience with CRM systems such as Redtail, Salesforce, eMoney, or similar platforms.
  • FINRA Series 65 or willingness to obtain industry licensing, if applicable.

The pay rate range for this job position is $80,200 to $105,000. Actual compensation is influenced by a variety of relevant factors including but not limited to applicant's skills, prior experience, qualifications, degrees, professional certifications, work arrangements and geographic location.
