POSITION SUMMARY
The Registration & Activation Specialist manages municipal outreach, registration, system configuration, and final operational readiness for jurisdictions served by Inspected. This position owns the registration process from the research handoff through activation and ensures that municipal requirements, company documents, operational instructions, and internal systems are complete before work begins.
ESSENTIAL FUNCTIONS
Core duties and responsibilities include the following. Other duties may be assigned.
Municipal Outreach & Registration
  • Maintain the approved municipality registration priority list and coordinate assignments with the Research Specialist
  • Review each research package for completeness before beginning municipal outreach or registration
  • Serve as the primary front-facing contact with building departments and municipal staff during registration and activation
  • Initiate municipal contact, introduce Inspected, request confirmation of local procedures, and obtain jurisdiction-specific requirements
  • Complete and submit municipal registration applications, firm documents, qualifier records, inspector credentials, certificates of insurance, workers' compensation documents, and required supporting materials
  • Track registration status, correspondence, due dates, outstanding documents, fees, portal approvals, and follow-up actions

Escalation & Compliance
  • Complete at least three documented contact attempts when a jurisdiction does not respond, then escalate unresolved non-response through the approved compliance process
  • Maintain clear escalation records and ensure that higher-level statutory or regulatory questions are referred to the Compliance Lead
  • Communicate confirmed requirements to appropriate internal teams while limiting broad distribution of unresolved or unverified information

System Configuration & Activation
  • Configure or coordinate the municipality record in Permit Hub, including activation status, operational notes, contacts, and required document settings
  • Update the municipality workflow template and operational notes with confirmed submission, scheduling, reporting, closeout, portal, and contact instructions
  • Perform the final readiness review to confirm municipal approval, workflow accuracy, system configuration, and document availability
  • Activate the jurisdiction only after all registration requirements are satisfied and required Compliance approval has been documented
  • Close or reassign the Municipality Registration Ticket only after activation steps and internal notifications are complete
  • Monitor registration-related operational issues reported by inspection, customer service, scheduling, reporting, closeout, or permitting teams and coordinate resolution

QUALIFICATIONS

Required
  • 3+ years of experience in municipal registration, permitting, licensing, compliance administration, customer relations, or a related field
  • Strong professional email, telephone, and relationship-management skills
  • Demonstrated ability to manage registrations, documentation, follow-ups, and escalations across multiple jurisdictions
  • Excellent attention to detail and ability to verify readiness before activation
  • Proficiency with Microsoft Office, Google Workspace, PDF tools, CRM systems, Permit Hub or comparable platforms, and shared document repositories
  • Ability to distinguish confirmed municipal requirements from unresolved compliance questions

Preferred
  • Knowledge of construction permitting, building-department processes, Private Provider or third-party plan review and inspection services
  • Experience with HubSpot or similar CRM platforms
  • Bilingual in English and Spanish

PERFORMANCE EXPECTATIONS
  • Registration cycle time from research handoff through approved activation
  • Percentage of registration packages accepted without avoidable missing information
  • Timeliness and documentation of follow-ups and escalations
  • Accuracy of Permit Hub configuration, workflow notes, contacts, and supporting documents
  • Percentage of activations completed with documented Compliance approval and readiness verification
  • Timely resolution of registration-related operational issues
