Medical Registration Supervisor Position Summary
The Medical Registration Supervisor is responsible for overseeing daily front desk and patient registration operations while supporting the Medical Registration Manager and Site Manager. This role ensures accurate, efficient patient registration processes, supervises and mentors' registration staff, manages performance tracking and evaluations, resolves patient and staff concerns, and promotes a positive, customer-focused work environment. The ideal candidate demonstrates strong leadership, problem-solving, communication, and team-building skills, while maintaining compliance with organizational policies and delivering exceptional service to patients, physicians, and colleagues.
Medical Registration Supervisor Essential Duties and Responsibilities
In addition to the role of the Medical Registration Specialist the Supervisor duties include:
  • Along with the Medical Registration Manager and Site Manager, assists in supervising employees at the front desk.
  • Assists in carrying out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include assisting in interviewing, hiring, and training employees.
  • Maintains staff performance log; tracking accuracy, productivity, collections, teamwork, customer service, etc. Look for trending issues and address with staff member. Document conversations and disciplinary actions.
  • Write up staff performance evaluations with feedback from Managers. Send to Medical Registration Manager for final review. Conduct front desk staff evaluation meeting with Site Manager and/or Medical Registration Manager present.
  • Prepares weekly deposit. Ensure coverage of task when absent.
  • Maintains weekly/daily seat rotation and/or greeter desk rotation.
  • Assist in rewarding and disciplining employees.
  • Act as leader of department addressing complaints and making sure all problems are solved in a timely manner.
  • Assisting all departments with questions pertaining to registration.
  • Demonstrates a commitment to "World Class Customer Service" and promotes a positive work environment. Build and sustain team morale.
  • Handles patient complaints, escalate up to Site Manager when needed.
  • Assist in handling any difficult situations with patients, staff, or referring physicians.
  • Responsible for communicating front desk changes/information.
  • Communicate and assists Site Manager and Medical Registration Manager with front desk staffing issues/shortages.
  • Monitors adherence to legal and company requirements related to retention, access, storage, and security of information contained in files and documents.
  • Other duties may be assigned.

Medical Registration Supervisor Specific Job Knowledge, Skill, and Ability

Requirements
Qualifications
  • High School Diploma or Equivalent
  • 2+ year of experience working in healthcare (i.e. patient admitting,/registration, patient accounting, medical records, physician's office)
  • or completion of a medical billing or medical assistant trade school certificate
  • 1 - 2 years Lead or Supervisory experience
  • Basic computer Skills

While performing the duties of this job, the employee is frequently required to sit and regularly required to stand and walk.
