Job description

Job Title: Non-Traditional & Graduate Admissions Advisor
Department: Enrollment Management
Reports To: Director of Enrollment Management
Employment Classification: Full-Time / Exempt
Location: Howell
Position Summary:
The Non-Traditional & Graduate Admissions Advisor is responsible for recruiting, advising, and enrolling adult, graduate, and other non-traditional student populations, including part-time learners, working professionals, career changers, degree-completion students, and prospective graduate students.
This role develops and implements data-informed recruitment strategies to support Cleary University's undergraduate and graduate enrollment goals and meet or exceed enrollment goals while delivering an exceptional, personalized admissions experience.
The Advisor actively engages prospective students through phone, email, virtual meetings, onsite employer events, recruitment fairs, and community-based outreach. This position requires strong communication skills, relationship-building abilities, comfort with technology (Salesforce, ZoomInfo, Microsoft Teams), and a commitment to helping adult and graduate learners remove barriers to education and achieve their academic and career goals.
Essential Duties and Responsibilities:
Core Responsibilities
  1. Recruit and enroll non-traditional and graduate students through proactive outreach, personalized advising, and consistent follow-up using Salesforce, ZoomInfo, Microsoft Teams, and multiple communication channels to meet or exceed enrollment goals.
  2. Deliver a highly supportive, student-centered admissions experience, guiding prospective students from inquiry through enrollment and connecting them with resources needed for success at both undergraduate and graduate levels.

Primary Responsibilities
Recruitment & Admissions Outreach
โ€ข Develop and implement recruitment strategies to increase inquiries, applications, and enrollments among adult, non-traditional, and graduate student populations to meet or exceed enrollment goals.
โ€ข Conduct proactive outreach using Salesforce and ZoomInfo to manage leads, pipeline activity, and communication flows.
โ€ข Engage prospective students via phone, text, email, virtual meetings, and in-person appointments.
โ€ข Lead presentations, information sessions, program briefings, and 1:1 advising appointments tailored to adult and graduate learner needs.
โ€ข Review transcripts, assess applicant credentials (including undergraduate GPAs for graduate admissions), and make admissions recommendations.
โ€ข Represent Cleary University at community colleges, graduate fairs, college fairs, employer sites, workforce development organizations, and community events.
โ€ข Collaborate with Enrollment Leadership and Graduate Program Directors to identify admissions process barriers and improve pathways to graduate education.
Prospective Student Support
โ€ข Provide personalized admissions advising covering undergraduate and graduate programs, career outcomes, financial aid basics, enrollment steps, and student supports.
โ€ข Guide graduate applicants through program selection, prerequisites, and readiness expectations.
โ€ข Identify potential barriers and connect students with Financial Aid, Advising, Registrar, Student Success, and Graduate Program Offices as needed.
โ€ข Ensure seamless handoff to academic advising after enrollment and maintain high standards of customer service throughout the admissions cycle.
Events & Engagement
โ€ข Plan, coordinate, and attend recruitment events, graduate fairs, employer education events, virtual webinars, and open houses.
โ€ข Partner with Marketing to promote events and develop targeted outreach materials for adult and graduate audiences.
โ€ข Track event outcomes and provide continuous improvement recommendations.
Data, Reporting & CRM Management
โ€ข Maintain accurate and compliant prospective student records in Salesforce.
โ€ข Use dashboards, reports, and ZoomInfo analytics to prioritize outreach and monitor funnel movement across undergraduate and graduate pipelines to meet or exceed enrollment goals.
โ€ข Provide regular enrollment updates, lead trends, and data-driven insights to the Director of Enrollment Management and Enrollment Leadership.
Minimum Qualifications:
โ€ข Bachelor's degree required (Master's degree preferred).
โ€ข Experience in admissions, recruitment, outreach, sales, or a related customer-focused field.
โ€ข Proficiency with CRM systems (Salesforce strongly preferred), ZoomInfo, and Microsoft Teams.
โ€ข Strong interpersonal and communication skills with the ability to engage diverse adult and graduate learners.
โ€ข Highly organized with strong attention to detail and the ability to manage multiple priorities.
โ€ข Ability to work both independently and collaboratively in a fast-paced, metrics-driven environment.
โ€ข Availability for evening, weekend, and occasional regional travel.
Preferred Qualifications:
โ€ข Experience working with non-traditional, adult, and/or graduate student populations.
โ€ข Background in higher education enrollment, graduate admissions, employer partnerships, or workforce development initiatives.
