Job Title: ReceptionistJob Description
The Receptionist provides front-office support and administrative assistance in a design engineering and construction environment. This role supports the human resources function and broader office operations by managing incoming calls, handling purchase orders and invoices, maintaining accurate records and logs, and facilitating day-to-day interactions with internal teams and external customers.
Responsibilities
  • Answer all incoming phone calls in a professional and courteous manner and direct callers to the appropriate departments or individuals.
  • Assign purchase order numbers for all purchases and place orders as needed, ensuring accuracy and completeness of information.
  • Review purchase orders and invoices to identify and resolve any discrepancies before processing.
  • Perform filing and maintain organized physical and electronic records for easy retrieval and audit purposes.
  • Interact daily with internal teams, including sales, engineering, shipping, and accounting, to support smooth communication and workflow.
  • Provide responsive and professional service to external customers, including vendors and clients, as part of front-office operations.
  • Break down shop packages and prepare, organize, and make copies for production teams to ensure they receive complete and accurate documentation.
  • Accept job applications in person or by mail and maintain a detailed log of all applications received.
  • Input mailed invoices into Stampli or similar systems with high accuracy, paying close attention to fractions and decimal-based data.
  • Support the HR function with general administrative tasks and documentation as requested.
Essential Skills
  • Working knowledge of Microsoft Office, specifically Word and Excel.
  • Strong data entry skills with at least 2 years of experience entering and managing data.
  • Proficiency with ten-key for numerical data entry.
  • Basic math knowledge with strong comfort working with fractions and decimals.
  • English language proficiency in both speaking and writing.
  • Ability to accurately review and verify purchase orders and invoices.
  • Attention to detail and accuracy when handling numerical and financial information.
Additional Skills & Qualifications
  • Self-motivated with the ability to take initiative and work independently.
  • Strong organizational skills and the ability to maintain orderly records and filing systems.

Pay and Benefits
