Job description

Job Summary:
Fredericksburg Christian Health Center is seeking an energetic, detail-oriented Medical Receptionist/Referral Coordinator with excellent communication skills and strong computer proficiency. This dual-role position is the first point of contact for patients and also manages the referral process to outside specialists and services. The ideal candidate thrives in a fast-paced environment, works well independently and under pressure, and is comfortable managing competing priorities. At least two years of experience in a busy office setting, preferably medical, is required. Bilingual candidates are a plus.

Responsibilities:

Front Desk / Reception:

  • Check patients in and out
  • Provide new patients with forms and applications
  • Scan insurance cards and update as needed
  • Check insurance eligibility before appointments are scheduled
  • Collect and process patient payments; maintain and reconcile cash drawer
  • Answer phones and assist patients at the window with pickups or questions
  • Make follow-up appointments and manage the clinic appointment schedule for all providers
  • Maintain and update scheduling protocols
  • Receive indigent care applications
  • Scan documents into patient charts
  • Process incoming faxes
  • Reconcile end-of-day financials and print daily reports
  • Maintain and update application forms and clinic protocols
  • Add supplies and funds to the postage machine
  • Serve as liaison between patients and the billing department

Referral Coordination:

  • Process outgoing referrals to specialists, imaging, labs, and outside services ordered by providers
  • Verify insurance authorization and prior authorization requirements for referrals
  • Track referral status from initiation through completion; follow up on outstanding referrals
  • Communicate with specialist offices, insurance companies, and patients to confirm scheduling and resolve issues
  • Document referral activity accurately in the EHR
  • Notify providers and patients of referral outcomes and ensure records/results are returned and filed appropriately
  • Assist patients with understanding referral and authorization requirements
  • Perform other duties as assigned by the Practice Manager or providers

Qualifications:

  • At least 2 years of customer service experience
  • At least 2 years of computer skills
  • At least 1 year of medical terminology experience
  • Prior referral coordination or insurance authorization experience preferred
  • Bilingual preferred
