Receptionist
Position Summary
We are seeking a professional, friendly, and highly organized Receptionist to serve as the first point of contact for our organization. This role is responsible for answering multiple phone lines, providing exceptional customer service, answering general questions, and directing callers to the appropriate person or department.
The ideal candidate thrives in a high-call-volume environment, is proactive, quick to learn, and can confidently manage multiple priorities while ensuring every caller receives a positive and professional experience. MUST SPEAK ENGLISH AND SPANISH!
Key Responsibilities
  • Professionally answer and manage multiple incoming phone lines.
  • Greet callers warmly and determine how to best assist them.
  • Answer general questions and provide accurate information.
  • Route calls accurately to the appropriate team members or departments.
  • Take detailed and accurate messages, ensuring timely follow-up.
  • Monitor and manage shared voicemail boxes.
  • Develop a strong understanding of the organization's services, departments, and frequently asked questions to confidently assist callers.
  • Maintain professionalism and confidentiality when handling sensitive information.
  • Assist with general administrative duties, including scheduling, data entry, filing, document management, and other office support as needed.
  • Deliver a welcoming and professional experience for every caller and visitor.
Qualifications
  • 1–2 years of receptionist, administrative, call center, or customer service experience preferred.
  • Excellent verbal and written communication skills in English and Spanish.
  • Professional phone etiquette with the ability to handle a high volume of calls.
  • Strong organizational skills and attention to detail.
  • Ability to multitask, prioritize responsibilities, and remain composed under pressure.
  • Proficiency with Microsoft Office (Outlook, Word, and Excel).
  • Experience using RingCentral, Slack, and multi-line phone systems is preferred.
  • Previous experience working in a personal injury law firm is a plus.
  • Ability to quickly learn new software, phone systems, and internal processes.
