Job description

Receptionist

The Receptionist performs routine clerical, secretarial and administrative work.

Essential Functions:

  • Answer and transfer inbound phone calls.
  • Tally and log parts calls daily and distribute spreadsheets weekly
  • Prepare "Parts Calls" spreadsheets for other branches
  • Distribute faxes to the appropriate mailboxes/departments.
  • Sort and distribute incoming mail.
  • Scanning and archiving inbound invoices into Share drive (payables)
  • Sort and mail daily parts and rental invoices
  • Log and distribute sales and service invoices
  • Keep up to date on postage prices. (First class, priority, express, certified, etc,)
  • Monitor postage meter balance and fill as needed.
  • Schedule regular maintenance for copier and postage machine
  • Take inventory and organize Stock Room weekly.
  • Order and stock office, breakroom, and printed supplies as needed.
  • Vendor price comparisons every 6-12 months.
  • Update and distribute weekly Call Reports and Sales Reports.
  • Review Salesmen's Expense Reports weekly
  • Update and distribute employee phone list.
  • Maintain an up to date directory for Switchboard Alaska.
  • Upload and distribute pictures for Rental Department.
  • Log rental fuel
  • Print & fold Rental Rates sheets for the rental counter.
  • Create, scan, sort and file various files and certificates.
  • Assist Sales, Parts, Rental, Service and Accounting personnel as needed.
  • Send out fed ex pouches
  • Update and maintain receptionist policies and procedures as needed.
  • Other duties as assigned.

Physical Requirements:
