The Real Estate Specialist at EōS Fitness will support the next chapter of our growth by helping keep the real estate pipeline organized, accurate, and moving. This role is ideal for a detail-oriented, highly organized candidate who enjoys administrative coordination, document tracking, scheduling support, and keeping fast-moving work on track behind the scenes.
As EōS continues to scale in current and future markets, this role will provide administrative and project coordination support to the Chief Growth Officer, VP of Real Estate, real estate team, brokers, and internal partners. The ideal candidate brings strong follow-through, excellent attention to detail, comfort working with documents and data, and the ability to support multiple priorities with professionalism and urgency.
Reporting Structure: This role reports directly to the Chief Growth Officer. The role will provide administrative, scheduling, document, and pipeline coordination support for leaders and stakeholders supporting the company's growth strategy.
Department: Real Estate/Development
Location: Dallas, TX or Las Vegas, NV; hybrid role with travel as needed for market visits, site tours, broker meetings, and growth-related business needs.
Responsibilities
  • Support deal tracking across the pipeline by updating LOI, lease, critical date, deadline, and deal point information as directed by the real estate team.
  • Provide document coordination support for LOIs, contracts, lease agreements, amendments, site materials, and related deal files, ensuring materials are organized, named consistently, and easy to locate.
  • Coordinate follow-ups, meeting notes, scheduling needs, and status updates between internal stakeholders, brokers, landlords, developers, and executive support partners.
  • Assist with preparing materials and logistics for market site tours, including agendas, site packets, travel details, pre-tour materials, and post-tour follow-up notes.
  • Prepare and maintain meeting materials for real estate committee meetings, including agendas, pipeline trackers, status reports, recap notes, and action item follow-up.
  • Maintain real estate software, lease administration tools, CRM records, pipeline trackers, five-year pipeline documents, hot sheets, and shared document storage with a high degree of accuracy.
  • Assist with gathering and organizing market research, demographic information, competitive notes, broker materials, leasing opportunities, and other supporting information for designated markets.
  • Own the administrative maintenance of the EōS five-year real estate pipeline, ensuring market trackers, maps, reports, presentations, deal notes, and supporting materials remain current, complete, and accurate.
  • Assist with ICSC events and other relevant conferences by supporting registration details, schedules, contact lists, meeting materials, notes, and follow-up tracking.
  • Gain exposure to site selection, lease negotiations, market planning, and real estate development activities while supporting a growing national portfolio.
  • Partner with the Real Estate team on market expansion initiatives by helping organize deal activity, development milestones, and strategic growth opportunities.
  • Provide reliable administrative support that helps the real estate team stay organized, prepared, and responsive as the portfolio grows.

Qualifications
  • 2+ years of experience in administrative coordination, real estate support, lease administration, project coordination, retail development support, or a related function preferred.
  • 1-3+ years of experience in commercial real estate, lease administration, real estate coordination, project coordination, retail development, brokerage support, property management, or a related business function preferred.
  • Strong technology aptitude with the ability to update trackers, reports, shared files, databases, CRM tools, and lease administration systems accurately and consistently.
  • Ability to communicate clearly and professionally with internal partners, brokers, landlords, developers, and vendors while supporting follow-through and next steps.
  • Strong organization, prioritization, proofreading, follow-up, and problem-solving skills, with the ability to keep details accurate across multiple moving pieces.
  • Interest in learning commercial real estate, retail development, leasing processes, and market planning in a high-growth brand environment.
  • Passion for commercial real estate, site selection, retail growth, or development, with a desire to build a long-term career in the industry.

Requirements:
  • Exceptional attention to detail, organization, accuracy, and follow-through, with the ability to manage calendars, documents, trackers, deadlines, and administrative requests with consistency.
  • Ability to access and operate Company computer system including prepare documents, enter data into computer system, read reports from a computer data base or email system.
  • Capable of working independently in a hybrid environment while staying responsive, organized, and aligned with leader direction.
  • Willingness and ability to travel as needed to support market visits, site tours, broker meetings, ICSC events, and other growth-related business needs.
  • Comfort handling confidential documents, deal details, executive priorities, and future growth plans with discretion and professionalism.
  • Self-starter who thrives in a fast-paced, entrepreneurial environment and can successfully manage multiple projects and priorities simultaneously.

Salary Pay Range
$65,000-$90,000 USD
