The Order Entry Specialist provides responsive customer service by answering inquiries via phone and email, creating and processing orders, and managing customer accounts with accuracy and care. This role supports order fulfillment by maintaining real-time data in reports and spreadsheets, coordinating closely with the warehouse team, and ensuring inventory and documentation remain accurate and up to date.
Responsibilities
- Answer customer inquiries via phone and email, providing accurate information about products and services.
- Resolve customer issues promptly and professionally, ensuring a positive customer experience.
- Create and enter customer orders accurately into the system, ensuring all required information is complete.
- Manage and update customer accounts, including contact information, order history, and account details.
- Process orders from entry through completion, ensuring they follow established procedures and timelines.
- Maintain reports to ensure accurate tracking of orders, inventory, and product availability.
- Manage spreadsheets with real-time data to support order tracking, inventory control, and customer reporting.
- Work closely with the warehouse team to ensure orders are processed accurately and on time.
- Coordinate and manage customer information within a warehouse management system to support efficient order fulfillment.
- Reconcile inventory records, identify discrepancies, and report issues to the appropriate internal contacts.
- Monitor shipping and receiving documentation and transactions to ensure accuracy and completeness.
- Post orders and related transactions in the system, maintaining accurate and up-to-date records.
- Use SAP, Oracle, AS400, or similar systems to support order entry, account management, and reporting as needed.
- Utilize Microsoft Office tools, including Word and Excel, to create, update, and maintain documents and reports.
- Prioritize and manage multiple tasks and customer requests to meet deadlines and service expectations.
Essential Skills
- At least 1 year of experience in a customer support or order entry role.
- Proven experience in order processing and order entry.
- Customer service experience, including handling inquiries via phone and email.
- Experience with account management in a customer-facing environment.
- Proficiency in data entry with a high level of accuracy.
- Working knowledge of Microsoft Office, including Word and Excel.
- Excellent verbal and written communication skills.
- Strong attention to detail and organizational skills.
- Ability to multitask, prioritize work, and manage time effectively.
- High school diploma or equivalent.
Additional Skills & Qualifications
- College degree preferred.
- Experience with warehouse management systems (WMS) preferred.
- Familiarity with SAP, Oracle, or AS400 systems.
- Background in an industrial, logistics, or 3PL environment is beneficial.
- Comfort working with real-time data and maintaining spreadsheets for reporting.
- Ability to collaborate effectively with warehouse and operations teams.
Work Environment
The Order Entry Specialist works on site in an office setting within an industrial and third-party logistics (3PL) environment. The role involves frequent collaboration with warehouse personnel and operations staff to support accurate and timely order processing. The position requires regular computer use, including order management systems, warehouse management systems, and Microsoft Office tools, particularly Word and Excel. The environment is fast-paced and detail-oriented, with a strong focus on accuracy, real-time data management, and coordination between office and warehouse operations.

This is a Contract to Hire position based out of Memphis, TN.
Pay and Benefits
The pay range for this position is $19.00 - $19.00/hr.
