H.R. Administrative Assistant

Overview:

The H.R. Administrative Assistant provides administrative support to the Human Resources Manager with occasional assistance to the Executive Director on special projects. This position is responsible for maintaining confidential employee records, ensuring HR compliance, and supporting a variety of human resources functions throughout the employee lifecycle. The ideal candidate is organized, detail-oriented, customer service focused, and able to maintain confidentiality while working in a fast-paced office environment.

Primary Duties and Responsibilities:

Recruitment & Onboarding / Offboarding

  • Recruitment Support: Assist with recruitment activities, including posting job openings, screening applications, scheduling interviews, and communicating with applicants.
  • Onboarding Coordination: Coordinate new hire onboarding, including preparing new hire packets, completing employment documentation, conducting orientation, and ensuring all required paperwork is completed.

HR Records, Systems & Compliance

  • Confidential File Management: Maintain confidential employee personnel files, HR records, and documentation in accordance with company policies and regulatory requirements.
  • Compliance Maintenance: Support HR compliance by maintaining I-9 forms, E-Verify documentation (if applicable), personnel records, and other employment-related files.

Employee Relations, Benefits & Performance

  • Employee Inquiry Resolution: Respond professionally to employee questions regarding HR policies, procedures, and benefits, referring complex issues to the HR Manager as appropriate.
  • Benefits Administration: Assist with benefits administration by distributing enrollment materials, processing qualifying life event changes, and responding to employee inquiries.
  • Performance Evaluations: Assist with performance evaluation scheduling and tracking completion of employee reviews.

General Administration & Executive Support

  • Leadership Assistance: Provide administrative support to the Human Resources Manager and assist the Executive Director with special projects as assigned.
  • Scheduling: Schedule meetings, training sessions, interviews, and employee relations discussions.
  • Documentation & Reporting: Prepare HR reports, spreadsheets, presentations, correspondence, and other documents using Microsoft Office Suite.
  • Front Desk & Office Operations: Receive deliveries, greet visitors, answer phones, and provide exceptional customer service to employees and guests.
  • Supply Management: Order and maintain office and HR supplies.

Education, Training & Experience:

Minimum Requirements

  • High School Diploma or GED
  • 1–2 years of experience in an office environment, front desk role, or customer service position

Required Skills:

  • Knowledge of Human Resources principles and employment compliance.
  • Basic understanding of employment laws (like FLSA, FMLA, and I-9 compliance)
  • Strong organizational and time management skills.
  • Excellent interpersonal and customer service skills.
