Job description

We’re looking for a hands-on Quickbase and AI operations specialist to help strengthen a Professional Services organization through better systems, cleaner data, and smarter automation. This role blends Quickbase administration, reporting, process improvement, and Microsoft Copilot Studio development to improve day-to-day productivity and decision-making.

Responsibilities
  • Own and support the Professional Services Quickbase environment as the primary administrator and subject matter expert.
  • Build and enhance Quickbase applications, including tables, fields, forms, reports, dashboards, workflows, and notifications.
  • Create and maintain formulas, calculated fields, validations, role-based logic, and business rules.
  • Develop, monitor, and improve Quickbase Pipelines, automations, and integrations with enterprise systems.
  • Manage user access, permissions, security settings, and overall application governance.
  • Troubleshoot application behavior, data issues, reporting gaps, workflow failures, and user access concerns.
  • Design scalable solutions that support project tracking, resource visibility, operational reporting, and business reviews.
  • Build, test, deploy, and maintain AI agents using Microsoft Copilot Studio.
  • Identify opportunities to reduce manual work through AI, automation, and process improvement.
  • Support Professional Services leaders with dashboards, analytics, forecasting, utilization, and planning insights.
  • Maintain high data quality through regular validation, cleanup, reconciliation, imports, and audits.
  • Create and maintain documentation, training materials, and operating procedures for systems and processes.
  • Partner with business stakeholders to gather requirements and turn them into practical technical solutions.
Skills
  • 3+ years of hands-on experience with Quickbase administration, development, or business application support.
  • 3+ years supporting Professional Services operations, PSA tools, project systems, resource management, or related business platforms.
  • Strong Excel skills, including advanced formulas, lookups, pivot tables, data validation, and data cleansing.
  • Experience creating reports, dashboards, KPIs, and operational metrics.
  • Ability to manage and analyze large data sets with a strong focus on accuracy and consistency.
  • Experience gathering business requirements and translating them into system, workflow, or automation solutions.
  • Strong troubleshooting, analytical, and problem-solving skills.
  • Clear communication skills with the ability to train, support, and coach business users.
  • High level of ownership, accountability, and comfort working independently.
  • Bachelor’s degree in Business, Information Systems, Computer Science, Engineering, Data Analytics, or a related field, or equivalent experience.
Preferred Skills
  • Experience with Microsoft Copilot Studio and AI agent development.
  • Background supporting integrations with Quickbase and enterprise tools such as ERP, CRM, Microsoft 365, or Power Platform.
  • Familiarity with REST APIs and JSON.
  • Experience with low-code or no-code workflow design and business process automation.
  • Knowledge of Professional Services concepts such as project planning, resource planning, utilization, forecasting, and backlog management.
  • Experience supporting global teams or cross-functional stakeholders.
  • Experience creating user training, documentation, and change adoption materials.
  • Comfort working in a fast-moving environment with a focus on practical business value.
