Job description

The Construction Quality Assurance, Commissioning, and Lockout/Tagout Coordinator supports project quality, commissioning, safety, and closeout activities for complex construction projects. This role is responsible for maintaining accurate project documentation, coordinating inspections and testing activities, managing Lockout/Tagout training and supplies, and helping project teams track deliverables through completion.
The ideal candidate is highly organized, detail-oriented, and comfortable working with multiple project stakeholders in a fast-paced construction environment. This position requires strong administrative and communication skills, along with the ability to manage quality, commissioning, and safety-related information with accuracy and consistency.
Key Responsibilities
Quality Assurance and Commissioning Coordination
  • Maintain, organize, and update quality assurance and commissioning documentation, records, logs, and databases.
  • Coordinate with construction, quality, commissioning, engineering, safety, subcontractor, and owner teams to track project activities and deliverables.
  • Track inspections, testing activities, deficiencies, punch-list items, corrective actions, and commissioning milestones.
  • Maintain inspection and testing logs and monitor the status of open items through resolution.
  • Support the development and maintenance of commissioning schedules, checklists, test records, and completion documentation.
  • Assist project teams with scheduling inspections, commissioning meetings, system walkdowns, testing activities, and turnover reviews.
  • Monitor outstanding action items and follow up with responsible parties to help ensure timely completion.
  • Maintain accurate records of field observations, inspection results, test reports, and corrective-action documentation.
  • Help verify that required quality and commissioning documentation is complete, current, and properly filed.
Lockout/Tagout Coordination
  • Coordinate Lockout/Tagout training, onboarding, and documentation for project personnel.
  • Maintain accurate records of completed Lockout/Tagout training and authorized personnel.
  • Assist with scheduling training sessions and communicating training requirements to project teams and contractors.
  • Maintain an inventory of Lockout/Tagout devices, locks, tags, kits, signage, and related supplies.
  • Order and replenish Lockout/Tagout materials to ensure adequate supplies are available for project activities.
  • Track the issuance and return of Lockout/Tagout equipment when required.
  • Support compliance with project-specific Lockout/Tagout procedures, safety requirements, and documentation standards.
  • Coordinate with safety, commissioning, operations, and construction teams regarding Lockout/Tagout needs and activities.
  • Help ensure Lockout/Tagout records are complete, organized, and readily available for review.
Document Control and Reporting
  • Prepare, format, and distribute project reports, meeting agendas, meeting minutes, correspondence, and status updates.
  • Maintain document-control systems for quality, commissioning, Lockout/Tagout, and project closeout records.
  • Track document reviews, approvals, revisions, and outstanding submittals.
  • Ensure project documentation complies with client requirements, contract documents, company procedures, and established filing standards.
  • Maintain consistent file naming, document numbering, revision control, and electronic filing practices.
  • Assist with compiling documentation for audits, inspections, turnover, and project closeout.
  • Prepare tracking reports that clearly communicate progress, overdue items, upcoming activities, and project risks.
  • Maintain confidentiality and accuracy when handling project, personnel, and safety-related information.
Project Closeout and Turnover
  • Maintain turnover packages, operations and maintenance manuals, warranties, training records, test reports, and closeout documentation.
  • Track the receipt, review, approval, and completion of required closeout deliverables.
  • Coordinate with subcontractors, vendors, general contractors, commissioning teams, and project management personnel to obtain missing documentation.
  • Assist with organizing system turnover packages and final project records.
  • Monitor punch-list and deficiency status through final resolution.
  • Support final document reviews to help ensure closeout packages are complete and ready for owner acceptance.
  • Maintain closeout logs and provide regular status updates to project leadership.
Administrative and Project Support
  • Provide data entry, filing, scheduling, document preparation, and general administrative support to project teams.
  • Maintain project contact lists, distribution lists, calendars, meeting schedules, and action-item logs.
  • Assist with onboarding project personnel and providing access to required systems, forms, and documentation.
  • Coordinate information between field personnel, office teams, subcontractors, vendors, engineers, and client representatives.
  • Respond promptly and professionally to requests for project information.
  • Support special projects and additional administrative duties as assigned.
  • Maintain a professional, organized, and service-oriented approach when working with internal and external stakeholders.

Requirements
Required Qualifications
  • Five or more years of administrative, project coordination, document-control, or project-support experience.
  • Experience in construction, engineering, commissioning, quality assurance, manufacturing, or a related technical environment is strongly preferred.
  • Strong organizational, planning, and time-management skills.
  • Ability to manage multiple priorities, deadlines, and action items in a fast-paced project environment.
  • Excellent written and verbal communication skills.
  • High attention to detail and a strong commitment to documentation accuracy.
  • Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and Teams.

  • Experience using document-management or construction-management platforms such as Procore, SharePoint, Autodesk Construction Cloud, Bluebeam, CxAlloy, or similar systems.
  • Familiarity with construction drawings, specifications, submittals, requests for information, inspection reports, and commissioning documentation.
  • Experience supporting semiconductor, data center, industrial, manufacturing, pharmaceutical, or other large-scale construction projects is a plus.
