Job Description

VIVIBOWL is a new, emerging Mexican-Asian fusion bowl brand in New York City. As we continue to grow, we are looking for an experienced and detail-oriented Procurement Specialist to support our restaurant operations and growing supply chain.

The Procurement Specialist will be responsible for day-to-day procurement activities, including local supplier sourcing, vendor communication, quotation and pricing comparison, purchase and delivery follow-up, supplier and product information management, and inventory coordination.

This role will work closely with restaurant operations, suppliers, and internal purchasing teams to ensure reliable product availability, competitive pricing, timely deliveries, and efficient procurement processes.

What You’ll Do
  • Source and evaluate local suppliers for food ingredients, packaging, restaurant supplies, equipment, and other operational needs
  • Develop and maintain strong working relationships with suppliers and vendors
  • Obtain and compare supplier quotations, pricing, product specifications, payment terms, lead times, and service levels
  • Support supplier negotiations involving pricing, purchasing terms, product specifications, delivery requirements, and other commercial considerations
  • Identify alternative suppliers and cost-saving opportunities while maintaining product quality and operational requirements
  • Create, coordinate, monitor, and follow up on purchase orders and deliveries
  • Communicate with suppliers regarding order status, shortages, substitutions, pricing changes, product availability, quality concerns, and delivery issues
  • Coordinate with restaurant locations and internal teams regarding purchasing requirements, inventory needs, product availability, and delivery schedules
  • Support inventory management and replenishment by monitoring product needs and coordinating purchasing activities with restaurant operations
  • Maintain accurate supplier, product, pricing, purchasing, and inventory information
  • Monitor supplier pricing and identify significant cost changes, purchasing trends, and potential savings opportunities
  • Assist with resolving discrepancies involving orders, invoices, quantities, pricing, product quality, or deliveries
  • Monitor supplier performance and assist with addressing quality, service, pricing, and delivery issues
  • Prepare and maintain quotation comparisons, purchasing reports, cost analyses, supplier records, and procurement documentation
  • Coordinate with regional and corporate purchasing teams regarding products, suppliers, procurement initiatives, and operational requirements
  • Support procurement activities for new restaurant openings, product launches, and other operational projects
  • Perform other procurement and supply chain duties as needed
What We’re Looking For
  • 2+ years of professional experience in procurement, purchasing, sourcing, supplier management, supply chain, or a related field
  • Experience with supplier sourcing, quotation comparison, purchasing, and vendor communication
  • Experience with inventory management or inventory-related purchasing activities
  • Experience in the restaurant, food & beverage, hospitality, food distribution, or related industry is strongly preferred
  • Strong negotiation, communication, and supplier relationship-management skills
  • Strong analytical and numerical skills with excellent attention to detail
  • Ability to evaluate and compare supplier quotations, pricing, costs, terms, and purchasing data
  • Strong organizational skills and ability to manage multiple suppliers, orders, purchasing requests, and deadlines
  • Ability to identify cost-saving and procurement-efficiency opportunities
  • Proficiency with Microsoft Excel and Microsoft Office
  • Ability to work effectively with restaurant operations and cross-functional teams
  • Bachelor’s degree in Supply Chain Management, Business Administration, Finance, Economics, Hospitality Management, or a related field preferred
Language Requirement
  • Professional proficiency in both English and Mandarin Chinese is required
  • Mandarin proficiency is required due to regular business communication and coordination with Mandarin-speaking suppliers, purchasing teams, and internal business partners
Bonus Points
  • 3+ years of procurement or purchasing experience
  • Previous procurement experience within the restaurant or food & beverage industry
  • Experience sourcing food ingredients, packaging, restaurant supplies, or equipment
  • Experience managing purchasing and inventory for multiple restaurant locations

Compensation

The anticipated salary range for this position is $70,000–$85,000 per year.

Actual compensation will be determined based on the candidate’s relevant experience, education, qualifications, skills, and other job-related factors.
