Job description

Manthei Wood Products is seeking a dependable and detail-oriented Accounting amp; Purchasing Support team member to join our team in Petoskey, Michigan. This role plays an important part in keeping our financial and operational processes running smoothly by performing a variety of hands-on accounts payable, procurement, vendor management, and office support duties. The ideal candidate is organized, proactive, a strong communicator, and enjoys working with team members across departments in a growing manufacturing company.

This is a full-time, on-site position located in Petoskey, Michigan. You will work directly with our Controller and Finance Team while partnering with vendors and departments throughout the company.

What You’ll Do

  • Accounts Payable: Collect, review, and attach vendor invoices to bills in NetSuite; review weekly AP to Pay Reports; process vendor payments, print checks, and prepare reports; verify vendor details and resolve discrepancies; mail check payments and file documentation; maintain check inventory.

  • Employee Expense Reimbursements: Enter reimbursement requests into NetSuite; review forms, receipts, and mileage calculations for accuracy; resolve issues prior to processing.

  • Vendor Administration: Set up new vendors in NetSuite using W-9s; maintain W-9 tracking and insurance records (workers' compensation, proof of insurance); assist with vendor information requests.

  • Purchasing amp; Procurement: Issue purchase orders in Concur and follow up with vendors; research product availability, quality, and pricing; order general office, IT, and plant supplies (including colored paper and breakroom items); manage returns and exchanges.

  • Purchasing Credit Card Administration: Perform monthly credit card reconciliations, review transactions for proper coding, resolve discrepancies, and maintain supporting documentation.

  • Administrative amp; Operational Support: Verify UniFirst invoices; schedule waste and dustbin pickups; maintain postage machine, shipping files, and ink/toner recycling; attend weekly Finance Team meetings; back up front desk/phone coverage; assist with FedEx shipments and potential purchasing grants.

  • Records Management amp; Year-End Support: Create annual vendor files, archive prior-year documents, organize retention boxes, and assist with year-end accounting administrative tasks.

What We’re Looking For

  • Required: High school diploma or equivalent.

  • Required: 2+ years of experience in accounts payable, accounting, purchasing, or related administrative work.

  • Required: Strong attention to detail, organizational skills, communication, and problem-solving abilities.

  • Required: Proficiency with Microsoft Office and Google Suites.

  • Preferred: Experience with NetSuite, Concur, or another ERP/accounting system.

  • Preferred: Prior accounts payable and purchasing experience, particularly in a manufacturing environment.

  • Preferred: Associate's or bachelor's degree in Accounting, Finance, Business, or a related field.

  • Personal Attributes: Dependable, curious, tech-savvy, proactive ("I'll take care of it" mindset), and comfortable collaborating across departments.
