Job description

Job Overview:
Pay Range: $66.97hr - $71.97hr
Requirement/Must Have:

  • Bachelor’s degree in Event Management, Marketing, Communications, Business, or related field.
  • 5+ years of experience in corporate event planning, preferably within a global, technology organization.
  • Demonstrated experience managing large scale, multi day events with complex logistics and VIP stakeholders.
  • Strong project management and organizational skills with exceptional attention to detail.
  • Excellent communication and presentation skills.
  • Ability to communicate effectively with stakeholders.
  • Proven budget management and vendor negotiation experience.
  • Ability to travel globally 10-20% depending on event calendar.
Responsibilities:
  • Manage the end to end planning and delivery of major corporate events, including complex engineering conferences, customer organization conferences and executive leadership meetings.
  • Translate business objectives into event concepts, agendas and experience designs that engage targeted audiences and elevate the brand.
  • Build and manage detailed project plans, timelines, budgets and risk assessments for all assigned events.
  • Serve as a trusted advisor to internal partners, guiding them through event strategy, options and best practices.
  • Collaborate with global teams to support consistency across regions while tailoring experiences to local needs.
  • Oversee venue sourcing, contract negotiations, and vendor selection (A/V, production, décor, catering, transportation, security, registration, logistics, etc.) for annual meetings and conferences.
  • Develop comprehensive event documentation, including run of show, production schedules, staffing plans and briefing materials.
  • Create consistency in content, messaging and attendee experience.
  • Manage on site operations, staff, vendors and stakeholders to ensure flawless execution.
  • Own event budgets from forecasting through final reconciliation; ensure responsible cost management and ROI reporting.
  • Work closely with Purchasing to negotiate vendor contracts and performance, ensuring the highest standards of service delivery and compliance with company policies.
  • Evaluate cost saving opportunities and implement process efficiencies across the events portfolio.
  • Support continuous improvement of processes, tools, templates and standard operating procedures related to event planning.
  • Maintain accurate data and reporting for internal systems, including attendee management, budgets, and post-event analysis.
Nice to Have:
  • CMP (Certified Meeting Professional) or CSEP certification.
  • Experience supporting clinical education events or healthcare professional programs.
  • Familiarity with Cvent and Poppulo.
