Purchasing & Administrative Services Coordinator

The Purchasing & Administrative Serves Coordinator acts as a primary support position for Admin Services & Purchasing department. This role will assist in the areas of scheduling, online events calendar publishing, event logistics planning & coordination, & purchasing assistance. Tasks include scheduling/planning/coordinating film shoots & meetings/events for staff/faculty, events calendar, outside group inquiries & events, bridal photo requests, event setup forms, insurance issues, driver history policy, and various other administrative services tasks.

Work Location: Virginia Beach, VA 

Salary: $46,200 annually

Essential duties:

  • Process & approve all room reservation requests for simple meetings, events, photo/film shoots from faculty, staff, CBN, & outside groups; coordinate CBN & outside group film shoots & events.
  • Publish events to online events calendar for ease of use by students, faculty, staff, & general public.
  • Process special event setup forms & diagrams for upcoming events; work with event coordinators for clarity & conciseness; consider how events can share setups to streamline labor; put into queue for housekeeping setup team.
  • Work with Human Resources to approve new drivers; maintain database of Regent employee drivers; keep Driver Alert current on DMV website; check driver histories on current employees as needed through Virginia DMV or HireRight.
  • Liaise with insurance broker for insurance questions (vehicles, general liability, film shoots, etc.); liaise with insurance claims dept for claims on Regent vehicles, rented equipment, student film shoots property damage, other property damage, visitors at events.

Qualifications:

  • High school graduate required; bachelor's degree preferred
  • 1 year experience in an administrative office position preferred. 2 years' experience in keyboarding & Microsoft Word required; Excel spreadsheets & Access databases a plus; Editing/grammar proficiency required
  • Must be comfortable with mobility and able to lift a minimum of 20 lbs
  • Must maintain a valid driver's license with satisfactory driving history
