Job Summary

The Fleet Manager is responsible for the company's fleet repair and maintenance programs, procurement and disposal, fleet optimization, and fuel program management. This role analyzes fleet data to guide strategic initiatives and fleet requirement recommendations, and supports business development and field operations by ensuring an available, dependable, and safe fleet. The Fleet Manager coordinates compliance with organizational policies, government regulations, and manufacturer requirements, and uses data analysis to identify business efficiencies and support company growth initiatives.

This position is based in our support office in San Antonio, Texas.

Duties/Responsibilities:

Internal Coordination and Consultation

  • Provide consultative support for Operations and Field leadership related to major repairs, fleet composition and right-sizing to ensure the appropriate vehicle type and quantity by location and operational need, and local vendor performance.
  • Receive, triage, and document incoming fleet requests; prioritize by operational urgency and escalate to the Director with context and summary.
  • Maintain an active log of open unit issues and pending actions; coordinate with shop staff, vendors, and drivers to move repairs and service events forward.
  • Maintain a transparent and consistent communication pathway between plant employees and the fleet department to ensure their needs are met.

Field Investigation

  • Gather and analyze field-reported unit issues; identify recurring patterns across units, operators, or locations and escalate with context.
  • Assess risk and safety issues on fleet repairs to ensure safe and efficient outcomes.
  • Identify and coordinate with vendors for mobile maintenance and repair unit needs in the field.

Internal Oversight, Tracking, and Reporting

  • Maintain a holistic view of asset optimization at the fleet level, including utilization, allocation, and lifecycle performance across all units.
  • Develop and provide recommendations on fleet utilization, lifecycle, and replacement spend based on cost data analysis.
  • Coordinate and oversee asset disposal following Director-level disposition decisions.
  • Monitor and track overall fleet PM compliance; provide regularly scheduled reporting to Operations leadership related to maintenance activity, costs, and regulatory compliance status and required actions.
  • Maintain accountability for fleet compliance with FMCSA and DOT rules and regulations across all operating units.

Vendor Relations

  • Manage vendor relationships at the operational level, including day-to-day coordination and performance tracking.
  • Hold vendors accountable to contractual performance standards, including data reporting obligations, service level agreements, and response time expectations; escalate non-performance to the Director.
  • Administer and execute Director-approved vendor agreements under preferred buying programs.

Financial Administration and Reporting

  • Administer fuel cards, including issuance, exception reporting to field management, and reconciliation and verification of transactions.
  • Track and report fleet, maintenance, and repair costs; provide data to support utilization and lifecycle analysis and Director-level decisions.
  • Establish and maintain a workflow to settle all fleet invoicing with accounts payable on a daily/weekly basis.
  • Approve and/or process purchase orders and invoices.
  • Create and provide fleet reports to support the fleet management team.

Education and/or Experience:

  • An associate degree or high school diploma/GED and/or three to four years of relevant experience in fleet management.
  • Experienced in Microsoft Office Suite, fleet management systems, and dispatch systems.

Skills/Abilities:

  • Ability to handle multiple demands at one time.
  • Proficient in the current Microsoft Office Suite.
  • Organized with strong communication skills.
  • Attention to detail.
  • Problem solver with a sense of urgency.

  • Prolonged periods sitting at a desk and working on a computer.
  • Available after normal hours for support, including weeknights and weekends, as needed considering internal and customer needs.
  • Occasionally required to stand, walk, reach with hands and arms, stoop, kneel, and crouch.
  • Regularly and safely lifts, carries, and handles supplies and equipment weighing at least 20-80 pounds.
  • Must pass pre-employment screening and background check.
