Join our agile, fast-growing federal IT consulting team as Proposal Lead, AI Integration and Knowledge Manager. As SiloSmashers revolutionizes our capture and proposal development lifecycle by integrating advanced Artificial Intelligence (AI) capabilities into our operations, we need a forward-thinking professional to champion this transformation. In this dynamic role, you will bridge the gap between traditional federal proposal management and cutting-edge generative AI workflows, managing proposal strategy and compliance, and acting as our resident prompt engineer, knowledge base architect, and data curator. We offer an innovative environment where your expertise in both government contracting and AI utilization will directly drive our expansion and success in the federal marketplace.

Job Responsibilities

AI-Enhanced Proposal Development & Management
  • Lead and coordinate proposal efforts for federal government clients, overseeing the process from pre-solicitation preparation through final submission while integrating AI tools into the workflow.
  • Analyze federal solicitations (RFPs, RFIs, RFQs, SSNs) to identify key requirements, evaluation criteria, and compliance factors, utilizing AI to rapidly shred documents and generate compliance matrices.
  • Develop clear, compliant, and compelling response documents, leveraging AI assistance to accelerate drafting while maintaining strict alignment with federal standards, win themes, and customer needs.
  • Track deadlines, manage multiple concurrent projects, and optimize proposal timelines by identifying bottlenecks that can be streamlined through AI
Prompt Engineering & Knowledge Base Curation
  • Design, test, iterate, and document highly effective prompts for Large Language Models (LLMs) and specialized proposal AI platforms (e.g., Awarded AI) to generate high-quality, compliant proposal narratives.
  • Serve as the primary data and knowledge analyst, structuring, curating, and maintaining a robust repository of corporate past performance, technical capabilities, and reusable content optimized for AI ingestion and Retrieval-Augmented Generation (RAG).
  • Analyze historical proposal data and corporate artifacts to identify knowledge gaps, subsequently creating or sourcing the necessary content to ensure our AI tools have a comprehensive, accurate foundation.
Collaboration & Content Creation
  • Work closely with Subject Matter Experts (SMEs) in IT engineering, cybersecurity, business operations, program management, and software development to extract technical information, subsequently translating their insights into structured knowledge base artifacts.
  • Train and guide SMEs and other proposal contributors on best practices for interacting with AI tools and providing the structured inputs required for optimal AI
  • Expertly edit, unify, and heavily refine AI-generated drafts alongside human contributions to ensure a single, cohesive, and compelling corporate voice.
Process, Quality Assurance, & Human-in-the-Loop Validation
  • Provide rigorous "human-in-the-loop" oversight, meticulously fact-checking AI-generated content against source materials to prevent hallucinations and ensure absolute technical accuracy.
  • Ensure all deliverables strictly adhere to government guidelines, company standards, formatting requirements, and FAR compliance.
  • Lead proposal team meetings, providing updates on assigned tasks, adhering to drafting deadlines, demonstrating AI-driven efficiencies, and ensuring overarching alignment with proposal objectives.

Skills and Qualifications

  • Experience: 3–7 years of technical writing and proposal management experience, with a distinct focus on federal government contracting and proposal lifecycles (e.g., Shipley methodology).
  • AI Proficiency: Demonstrated experience or strong foundational understanding of generative AI tools, prompt engineering, and LLM Specific experience with AI-assisted proposal software (such as Awarded AI) is highly preferred.
  • Data & Knowledge Management: Proven ability to organize, tag, synthesize, and structure complex technical information and business data into centralized knowledge repositories.
  • Writing & Editing: Exceptional research, writing, and editing skills, with a specialized ability to refine and elevate AI-generated text for diverse technical and government evaluation audiences.
  • SME Collaboration: Proven track record of successfully collaborating with technical staff and translating highly technical concepts into accessible, persuasive proposal
  • Regulatory Knowledge: Deep familiarity with government regulations (FAR/DFARS), acquisition processes, and the structural requirements of federal solicitations.
  • Technical Tools: Proficiency with MS Office Suite, SharePoint, Adobe Acrobat Pro, and modern AI/LLM interfaces; desktop publishing and document formatting experience preferred.
  • Education: Bachelor's degree or equivalent experience in technical writing, English, data science, business, or a related field.
  • Work Style: Ability to work independently and proactively in a highly dynamic, growth-focused environment. A track record of rapidly adapting to evolving technologies and actively contributing to process Experience in a small business or startup environment is strongly preferred.
