We bring senior leadership and direct involvement to every engagement, giving our clients clarity, control, and confidence from first concept to final closeout.


THE ROLE

As a Project Coordinator, you are the connective tissue of our project teams. You keep the documentation, schedules, communication, and details in order, so nothing slips and our project managers stay focused on leading. This is a role for someone early in their AEC career who is relentlessly organized, naturally proactive, and takes real pride in owning the details other people let slide.


You'll work directly alongside senior owner's representatives on marquee healthcare projects. It's a rare chance to learn about this business from the inside and grow toward a project manager or owner's representative role as Vivid scales. You'll report to both partners, and split your time between our Haddonfield office, active project sites, and some remote work.


WHAT YOU'LL DO

  • Own project documentation and document control. Keep RFIs, submittals, meeting minutes, drawings, and records accurate and current in Bluebeam and our shared systems.
  • Maintain project schedules, milestones, and action-item logs in MS Project, Smartsheet, and Excel, and keep them honest.
  • Prepare agendas, capture and distribute meeting minutes, and drive follow-up on every open item.
  • Support budget and cost tracking, invoicing, and change documentation.
  • Coordinate communication among owners, architects, engineers, contractors, and our internal team.
  • Compile clear, client-ready reports and dashboards that turn complexity into clarity.
  • Anticipate needs and flag risks early, before they become problems.
  • Attend site visits and owner-architect-contractor (OAC) meetings, and capture and circulate accurate notes.


WHAT YOU BRING

  • 1 to 2 years in the AEC world. Owner's rep, general contractor or construction manager, architecture, engineering, or a related field. Healthcare exposure is a plus.
  • A degree in construction management, engineering, architecture, business, or equivalent hands-on experience.
  • Working proficiency with Bluebeam Revu and MS Project, Smartsheet, and Excel, or the eagerness to learn them quickly.
  • Exceptional organization, written and verbal communication, and follow-through.
  • Comfort in a fast-paced, detail-heavy environment, and a genuine ownership mentality.
  • A valid driver's license and willingness to travel to project sites across the tri-state area.
