Data Management Clerk

Reports to: Director of Early Childhood Education

School/Department: Early Childhood Department

Pay Grade: Office Professional/CS4

Work Days: 226 Days

Wage/hour status: Non-Exempt

Primary Purpose: The Early Childhood Data Management Clerk is responsible for verifying and enrolling all prekindergarten students for the district and performs accurate data entry for student records into Student Information System (SIS). The position works closely with the Early Childhood Department staff to support Language Proficiency testing, LPAC meetings, and Laserfiche Document Scanning.

Qualifications

Education/Certification

  • High School Diploma or GED
  • Nine (9) hours of college business or accounting coursework or comparable from an accredited college or university recognized by the US Department of Education preferred

Special Knowledge/Skills

  • Knowledge of school district organization, operations, and administrative policies and procedures
  • Knowledge and/or familiarization with district registrar policies and state prekindergarten guidelines
  • Skill in gathering/organizing/interpreting/analyzing data and formulating conclusions, patterns, trends
  • Skill in general office skills, including office management, equipment, proper telephone etiquette and organization Skill in English and document preparation utilizing proper format, spelling, grammar, punctuation, and proofreading
  • Skill in processing a high volume of data/transactions in a fast paced and structured deadline environment
  • Skill in using proper telephone etiquette and customer service techniques in a fast, friendly, and flexible manner
  • Skill in the use of keyboarding, Microsoft Word, Google Docs, Power Point, Excel, student systems, and web-based data management systems and software packages
  • Ability to maintain confidentiality of privileged and sensitive information
  • Ability to work under pressure as workload is deadline driver
  • Ability to work independently, prioritize tasks and coordinate multiple projects to meet specific deadlines
  • Ability to perform duties with attention to detail, speed, accuracy, follow-through, courtesy, cooperativeness and work with minimum supervision
  • Ability to maintain professional behavior, appearance, and work ethic to represent the school district in a positive manner at all times
  • Ability to communicate effectively with tact and diplomacy and provide a high level of customer service to administrators, District officials, parents, co-workers, and vendors

Experience

  • Two years of experience with exposure in any combination of working with student data and relatable database such as registrar experience is preferred

Major Responsibilities and Duties

Student Data Management Support

  • Maintain student registration data into the student information system, maintenance of supporting documentation, and other SIS related requirements (1,200+ students).
  • Assist with the preparation of report and student data information.
  • Analyze data to identify early childhood patterns and trends.
  • Manage enrollment and withdrawal records for students at ECC
  • Assist with attendance records for students at ECC
  • Assist with Language Proficiency Testing and LPAC meetings.
  • Complete Laserfiche Document Scanning (1,200+ students).
  • Assist parents with questions regarding prekindergarten eligibility and registration
  • Contact parents/guardians to verify prekindergarten eligibility and registration documentation completion
  • Maintains a variety of records, schedules for the purpose of documenting and/or providing reliable information.
  • Prepares a variety of reports for the purpose of conveying information regarding prekindergarten enrollment and/or district activities and procedures.
  • Maintain confidentiality of student records in accordance with federal and state law and district policies

  • Comply with policies established by federal and state law, State Board of Education rule, TEA, and local board policy.
  • Prepare correspondence, forms, reports as instructed by department administrators.
  • Compile, maintain, file, and present all physical and computerized reports, records, and other documents.

  • Maintain a positive and effective relationship with coworkers, supervisor, District officials and employees, and the general public.
  • Provide outstanding customer service.
  • Maintain good judgment and decision making when dealing with supervisor, co-workers, District officials and employees, and the general public.

Other

  • Maintain confidentiality of privileged and sensitive information when received and distributed to appropriate designees as directed by Director of Early Childhood and/or the Data Quality Department and in accordance with federal and state law and district policy.
  • Attend meetings and professional development as required or to enhance knowledge, skills, and abilities and remain current on new and emerging technologies.
  • Maintain a working knowledge of the software/hardware that is being supported by Humble ISD.
  • Maintain an organized work environment.
  • Maintain professional appearance adhering to the department's established standards.

Working Conditions

Work is performed in a climate-controlled office environment not readily accessible to the general public. This position requires a strong work ethic and characteristics supportive of collaborative work efforts in a collegial and fast-paced atmosphere.

Occasional prolonged and irregular work hours โ€“ flexibility with schedule preferred Occasional overtime hours Workload is deadline driven and must be able to meet ongoing deadlines Work with frequent interruptions during peak registration periods Prolonged use of equipment and computer with repetitive hand motions Office atmosphere may be noisy and hectic. Offices are "open" with multiple employees working in large open rooms containing two or more desks and equipment. May work in an enclosed area.

Frequent contact with parents, community, and/or other district/campus employees Requires performing tasks sitting, standing, kneeling, squatting, stooping, bending, pushing, pulling, twisting, and lifting Work location assigned requires physical presence in office Daily attendance and punctuality are essential functions of the job
