Project Coordinator

FLOFORM Countertops is seeking a full-time Project Coordinator to join our Portland Branch.

Position Summary

The Project Coordinator plays a key role in delivering an exceptional customer experience from initial inquiry through order completion. This position is responsible for preparing estimates, reviewing measurements and blueprints, processing orders, coordinating with internal departments, and assisting customers with product selection.

The ideal candidate is organized, detail-oriented, customer-focused, and comfortable managing multiple projects while maintaining accuracy and professionalism.

Key Responsibilities
  • Prepare estimates by reviewing blueprints, specifications, and measurements.
  • Provide customers with accurate pricing, product information, lead times, and shipping or installation expectations.
  • Assist customers in person, by phone, and through email.
  • Prepare and process customer quotes and orders accurately and efficiently.
  • Enter orders and quotes into company systems and confirm product availability.
  • Coordinate with sales, production, installation, and other departments to ensure projects move forward smoothly.
  • Proactively communicate with customers regarding order status, product selections, timelines, and any changes or delays.
  • Assist customers with product selection and provide knowledgeable guidance on available options.
  • Maintain accurate customer records and documentation.
  • Address customer concerns and service issues professionally, escalating when appropriate.
  • Resolve pricing, invoicing, credit, payment, and shipping discrepancies in coordination with the appropriate departments.
  • Maintain current pricing information and ensure orders are priced accurately.
  • Support showroom presentation, including displays and general cleanliness.
  • Perform other duties as assigned.
Qualifications
  • High school diploma or equivalent.
  • 2+ years of customer service experience; experience in the countertop, construction, building materials, or related industry is preferred.
  • Experience with estimating, blueprint interpretation, and measurements preferred.
  • Interior design or related experience is an asset.
  • Strong computer skills, including Microsoft Office; ability to learn company-specific software and systems.
  • Valid driver’s license and ability to successfully complete a background check.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Strong customer service and problem-solving abilities.
  • Basic mathematical skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Professional and diplomatic approach to challenging customer situations.
