What are some common challenges faced during the project completion handover process, and how can they be addressed?

One of the most common challenges during project completion handover is ensuring that all necessary documentation and deliverables are complete, accurate, and readily accessible for the client or operations team. Miscommunications or gaps in information can delay acceptance and create confusion. To address these challenges, it's crucial to establish clear checklists, conduct thorough walkthroughs, and maintain open lines of communication with all stakeholders. Proactively engaging with both the project team and the receiving party helps ensure a smooth and successful transition.

Which stage involves handing over the project deliverables?

In project management, the project completion handover stage involves transferring deliverables, documentation, and responsibilities to the client or operations team. The project manager or designated team members typically conduct this handover, ensuring all requirements are met and proper documentation is provided. This stage often includes training, sign-offs, and final reviews to confirm successful completion.

What does a handover coordinator do?

A handover coordinator manages the transfer of project responsibilities, documentation, and assets from one team or phase to another to ensure a smooth transition. They coordinate communication, verify completion of tasks, and often use project management tools to track progress and ensure all requirements are met before project closure.

Who We Are

In Melbourne, water is essential to our way of life.

As caretakers for Melbourne's water cycle, we care for water, life and land throughout Melbourne: both its people and its biodiversity.

Each time you drink from the tap, flush a toilet or kayak down the Yarra, we're there. Primed and ready, quietly delivering some of the world's cleanest water for over five million residents and wildlife that call Melbourne home, just as we have for over 130 years.

If you value making it count, diving in with curiosity, and doing what's right, you're in the right place.

About The Role

Reporting to the Senior Manager, Major Projects (WTP), this is a fixed term contract opportunity up until 14 November 2027, within the Major Capital Delivery team. This role offers the exciting opportunity to work on one of the largest water infrastructure projects in the country. As the Project Completion Lead, you will play a key role in bridging the gap between construction and operations. This will be achieved by coordinating Melbourne Water stakeholders and contractors to ensure a smooth and wellmanaged transition at project completion.

In this role you will:

  • Lead coordination between contractors, the project team and Melbourne Water stakeholders to ensure the handover and completions processes progress on time and to a high standard allowing for seamlessly transition operations and asset management teams.
  • Managing and delivering all items within associated with handover and completion in line with agreed time frames and requirements.
  • Ensuring allocated projects within the Major Capital Program are delivered safely, efficiently, on time, within budget, and meet required quality and functional outcomes.
  • Overseeing technical and administrative aspects of project delivery, with particular focus on meeting completion and handover requirements.
  • Consolidating project documentation, including As-Built drawings, and managing the timely delivery of all completion activities.
  • Working collaboratively with a wide range of stakeholders to ensure deliverables are high quality, on scope, on time and on budget.
  • Identifying opportunities to improve project management practices, including monitoring and evaluation, supplier and team performance, stakeholder engagement and change management.
About You
  • Degree-qualified in Engineering, with experience in project delivery and completions management.
  • Strong experience in the design, construction and delivery of multi-disciplinary projects, including management of technical, environmental, social, reputational and commercial risks.
  • Demonstrated end-to-end project lifecycle experience, from initiation through to close-out.
  • Well-developed consultation, negotiation and communication skills, with the ability to influence stakeholders at all levels on complex or sensitive matters.
  • Proven ability to apply project management, change management and interpersonal skills to deliver strategically important outcomes.
  • Resilient and effective in demanding project environments, with the ability to develop sustainable strategies for managing pressure over the long term.
