General Purpose

Reporting to the Administrative Assistant in the Department of Management (DoM), the incumbent is responsible for providing departmental, operational, and academic support to facilitate the efficient functioning of the Department. Working collaboratively as part of the Administration Team, this position contributes to the delivery of academic programs and supports the effective day-to-day operation of a large and dynamic academic department. The Department of Management (DoM) is an academic unit in the Gordon S. Lang School of Business and Economics with 34 faculty members, approximately 1,500 undergraduate students, and 100 graduate students.

The Academic and Project Assistant provides administrative and academic support to the Department, including human resources and financial operations, and is responsible for both internal and external department communication, department awards, events, and projects, as well as support to a variety of departmental committees and providing backup support to the Academic Assistant as required.

Duties and Responsibilities

Academic and Administrative Support

  • Provide administrative support to faculty, staff, students, and departmental operations.
  • Assist with academic processes and departmental initiatives.

Financial and HR Support

  • Support routine financial transactions, reconciliations, and expense claims.
  • Provide administrative support for the TA posting and onboarding processes.

Communications, Events, and Projects

  • Coordinate departmental communications, events, and awards programs.
  • Assist with the coordination and implementation of departmental projects, initiatives, and special events.
  • Liaise with faculty, staff, students, and external stakeholders to support departmental activities.
  • Maintain project, event, and communication records and documentation as required.

Committee Support

  • Schedule meetings, prepare materials, record minutes, and follow up on action items.

Requirements

  • One (1) year Community College diploma coupled with at least six (6) months of related experience i.e. working within an academic department, or an equivalent combination of education and experience.
  • Proficiency with Microsoft Office software is essential as well as familiarity with Acrobat Pro, FRS, Concur, UNIWEB, CourseLink, and similar University programs and services is strongly preferred.
  • Strong, clear, and concise writing and oral communication skills are required.
  • Strong record-keeping skills are a must.
  • Candidates must demonstrate strong organizational, prioritization, and multitasking abilities, with a proven capacity to manage time-sensitive tasks accurately in a fast-paced, dynamic environment with frequent interruptions.
  • The successful candidate must be dependable and able to function equally well independently or as a member of a team. 
  • The Academic and Project Assistant must respect and maintain strict confidentiality, be congenial, tactful, and diplomatic.
