The Department of Developmental Services (DDS) is dedicated to creating, in partnership with others, innovative and genuine opportunities for individuals with intellectual disabilities to participate fully and meaningfully in, and contribute to, their communities as valued members. The DDS North Central Area Office seeks motivated and experienced candidates for the role of Program Coordinator II.
The Program Coordinator II (PCII) will maintain up to date knowledge of DDS systems. This position plays a key role in ensuring compliance with the Centers for Medicare & Medicaid Services (CMS) waivers and managing essential data, projects, and reporting processes related to Individual Service Plans (ISP), Service Enrollments, Level of Care (LOC), and POC/IPOC).
The PCII is a member of the Area Office Leadership Team and is involved in management-level planning activities. The position requires analytical expertise to create systems to track information necessary for the area office team to support individuals. Strong organizational, communication and interpersonal skills are essential. This position is ideal for a detail-oriented professional who thrives in a collaborative environment and enjoys working on complex projects that support individuals with intellectual and developmental disabilities.
Additional responsibilities include the completion of special projects and requests for information assigned by the Area Director and Assistant Area Director.
Duties and Responsibilities (these duties are a general summary and not all inclusive):
Review outstanding error and data reports in HCSIS, coordinate follow through with Supervisor.
Enter F/D & Rate information into PAM to generate Plans of Care.
Run reports in MT reporting on outstanding HCSIS reports for Area Office and Providers, generate follow up with appropriate parties for closure.
Submit waiver change and disenrollment forms to Waiver Management Unit as required.
Respond to Waiver Management Unit on all assignments ( i.e. updating waiver assurance documents, identifying total resource amounts for proper waiver classification, etc.)
Review and respond to assignments from Revenue Department for waiver qualification as it pertains to Mass Health eligibility.
Review, approve Level of Care in MT.
Track/document/submit weekly Family Support Service Requests to appropriate agency.
Enter Family Support Plan data in MT and distribute accordingly.
Review Family Support Expenditure Plans and distribute accordingly.
Enter ICAP Data, create MASSCAP Profile, track/organize MASSCAP monthly meetings
Act as liaison with Central Office as it relates to PCA Application/Renewal, provide support to Service Coordination.
Perform other tasks as assigned by the Area Director or Assistant Area Director.
Qualifications:
Knowledge of organization and functions of the DDS systems.
Knowledge of the principles and practices of interviewing.
Ability to gather information through questions, observation and by reviewing records and documents.
Ability to understand, explain and apply the provisions of the laws, rules, regulations, policies, procedures, specifications, standards and guidelines governing assigned unity activities.
Ability to establish and maintain professional working relationships with others.
Ability to establish rapport with persons from different ethnic, cultural and/or economic backgrounds.
Ability to work cooperatively and effectively with staff members, individuals and the representatives of the community organizations.
Ability to work within a team setting.
Ability to exercise discretion in handling confidential information.
Ability to maintain accurate records.
Knowledge of the principles and methods of social casework, group work and community organization.

Schedule: Monday-Friday, 9:00am - 5:00pm
Days Off: Sunday/Saturday

MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) three years of full time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. A Bachelor's degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the-required experience.*
II. A Graduate degree with a major in business administration, business management or public administration may be substituted for the required experience.*
III. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
*Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Salary placement is determined by a combination of factors, including the candidate's years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Division's Hiring Guidelines. For all bargaining unit positions (non-management), compensation is subject to the salary provisions outlined in the applicable collective bargaining agreement and will apply to placement within the appropriate salary range.
