Job description

The Whiting School of Engineering is seeking a Program Coordinator to provide high-level administrative project support to the Center on Artificial Intelligence for Materials in Extreme Environments (CAIMEE) under the umbrella of HEMI, and direct administrative support to CAIMEE faculty, including calendaring and meeting management. This person must maintain a high degree of professionalism and confidentiality, comfortably taking initiative and exercising independent judgment to resolve issues. Must be able to work in a demanding, fast-paced collaborative work environment as part of an exciting support team committed to excellence and customer service. This position will reports directly to the HEMI Administrator, however job duties are primarily assigned by the CAIMEE Program Manager.
The Hopkins Extreme Materials Institute (HEMI) is one of Johns Hopkins University's premier research institutes on the Homewood Campus. Established in 2012, HEMI includes faculty members from the Whiting School of Engineering, Krieger School of Arts and Sciences, and the Applied Physics Laboratory in collaboration with numerous associates from academia, government, and industry. Our team of globally recognized researchers embraces the challenge of solving extremely complex research problems.
The Program Coordinator is responsible for the implementation of a specific program under general supervision and direction. The Program Coordinator participates in program development, planning, and implementation. The position is responsible for day-to-day operations of the program and achieving short and long-term program goals. May supervise or oversee operational staff with program responsibilities.
Specific Duties & Responsibilities
  • Contribute to goal setting and identify program operational requirements to meet programmatic goals.
  • Obtain and utilize internal and external resources to meet program goals.
  • Serve as primary contact for the program with internal departments and external organizations.
  • Responsible for monitoring budget expenses, processing invoices, performing budget reconciliation, and assisting with budget development.
  • Compile documentation related to funding and finance.
  • Identify and resolve programmatic problems.
  • Assist with planning events and coordinate preparation, set up and logistics for events/ functions.
  • Coordinate communication activities via websites, social media channels, and publication materials as needed.
  • Ensure timely, accurate and appropriate reporting of program activities.
  • Other duties as assigned.

Minimum Qualifications
  • High school diploma or graduation equivalent.
  • Four years progressively responsible administrative experience.
  • Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications
  • Bachelor's Degree.

  • Highly proficient with Microsoft Office programs including Outlook, Word, Excel and PowerPoint.
