Position Summary

The Compliance Coordinator provides essential administrative support for compliance initiatives and projects. Responsibilities include conducting research, analyzing data, preparing reports, performing risk assessments, participating in audits, updating policies, and delivering training to ensure regulatory adherence. The role requires creating presentations, excelling in fast-paced environments, and using advanced technology, Excel, dashboards, and tracking systems. The Coordinator also monitors compliance communication forums, including mailboxes, and responds to inquiries under the supervision of the Deputy Chief of Compliance and in alignment with organizational compliance policies. Exceptional communication skills and effective collaboration with stakeholders are key to achieving compliance goals.

Required Qualifications

  • Associate’s degree preferred; OR appropriate work experience necessary to perform the essential functions of the job.
  • Experience in project management, program evaluation, team facilitation, and data analysis preferred.
  • Analytical thinker with strong conceptual and problem-solving skills.
  • Meticulous attention to detail with the ability to multitask.
  • Ability to work under pressure and meet deadlines.
  • Excellent documentation, communication, and advanced computer skills.
  • Ability to work independently, exercise sound judgment, and perform clerical tasks methodically and independently with speed and accuracy.
  • Proficiency in providing information professionally and error-free in both verbal and written forms.
  • Advanced proficiency in computer information systems, including strong computer literacy, and expertise in word processing and spreadsheet software.
  • Adherence to infection control procedures, including rigorous compliance with hand hygiene, symptom self-monitoring, masking, and social distancing protocol.
  • Results and outcomes-oriented with strong emphasis on teamwork and collaboration.
  • Support the Center/Department/Program to meet High Reliability Organization standards.

Essential Responsibilities

  • Evaluate areas of significant compliance risk, identifying potential vulnerabilities and threats.
  • Review and document compliance breaches and exposures, providing detailed reports for analysis.
  • Conduct thorough audits of internal Policies and Procedures, ensuring adherence to regulatory standards and organizational guidelines.
  • Collect and coordinate internal compliance data with auditors and other relevant teams.
  • Conduct research on industry best practices and benchmarking data, to keep the compliance department abreast of emerging trends.
  • Review existing policies to ensure alignment with current regulations and assist in drafting or updating them, as necessary.
  • Manage the compliance mailbox and respond to inquiries as directed by the Deputy Chief of Compliance.
  • Conduct compliance related trainings to ensure adherence to regulatory requirements.
  • Create compliance educational tools and materials.
  • Participate in audits and other compliance monitoring activities.
  • Adherence to the Code of Conduct, demonstrate commitment to professional ethics, HIPAA, and maintain strict confidentiality in handling sensitive compliance-related information.
  • Promote a safety culture by reporting hazards, errors, and potential patient safety issues.
  • Work effectively under minimal supervision, with accountability for specific goals and objectives within designated timelines.
  • Exhibit problem-solving, conflict management, dependability and team-building skills to foster a productive work environment.
  • Supports the compliance department to meet standards of High Reliability.
  • Travel to WellSpace Health service locations as needed.
  • Execute any other duties as assigned, demonstrating flexibility and adaptability in meeting evolving organizational needs.

Physical Demands and Work Environment

The work environment is characteristic of a medical clinic environment. The employee may experience a number of unpleasant sensory demands associated with the client’s use of alcohol and drugs, and the lack of personal care. The employee may also be exposed to bodily fluids (blood, urine) and hazardous chemicals.
