Job Title: Program Data and Quality Support Coordinator

Status: Regular, full time (Union position)

Number of Vacancies: 1

Wage: $29.17 -$33.49 (starting $29.17)

Hours: 35 Hours/Week

Schedule: This position requires availability for at least two days per week, Monday to Friday, for either morning shifts (8:30 AM-4:00 PM) or evening shifts (1:00 PM-8:30 PM).

PURPOSE:

The Program Data and Quality Support Coordinator in Language Programs Department will work alongside Manager to ensure the accuracy, consistency, and integrity of LINC program data-including in ICARE-across the full client lifecycle by monitoring, validating, and coordinating client, course, and attendance information; supporting timely and accurate data entry and follow-up from intake through participation, status changes, and exit; and acting as a key liaison between program teams and data/IT functions to enable reliable reporting and informed program management. 


DUTIES AND RESPONSIBILITIES:

Conduct routine program-level data quality checks to ensure LINC client records, attendance, and course data are complete and accurate in CRM and associated funder databases & reporting (e.g. ICARE) 

Cross-check data entered by instructors and Program Assistants against class lists, schedules, and attendance records.

Monitor and flag client eligibility and status issues (e.g. ineligible, inactive, or incorrectly coded clients) for follow-up.

Support resolution of rejected ICARE records by reviewing source data and coordinating corrections with program staff.

Assist with course and class data management, ensuring instructors, schedules, delivery modes, and locations are correctly reflected across all corresponding systems. 

Run basic queries and standard reports to support program monitoring and manager follow-up.

Identify recurring data issues and escalate systemic trends to LINC program manager and database coordinator/data team.

Act as a liaison between the LINC program and the central data & IT team, supporting consistent interpretation and use of data processes.

Support onboarding and ongoing guidance for staff on standardized & accurate, and timely LINC data entry practices and expectations. Serve as the program data point person, coordinating data readiness during reporting periods by conducting pre reporting checks, flagging training needs to Program Management, and supporting LINC participation in data related pilots or process changes in collaboration with the central data/IT team.

Maintains related records and statistics to produce quarterly annual reports as 

required.

QUALIFICATIONS:

Diploma in Business Administration, Information Systems, or a related field. 

Minimum 2 years' recent, data administration, or reporting within LINC or comparable government-funded programs; or an equivalent combination of education, training, and experience. 

Sound knowledge of LINC program policies, procedures, and funder reporting requirements. 

Demonstrated knowledge of ICARE, including data entry standards, validation processes, and error resolution. 

Understanding of client eligibility, attendance tracking, and lifecycle data requirements (intake to exit). 

Knowledge of data quality assurance practices, privacy legislation, and confidentiality requirements.
