Production Coordinators are professionals who manage the logistics and administrative aspects of film, television, or other production projects. They are responsible for organizing schedules, coordinating communication between various departments, arranging equipment, and handling paperwork. Their role is essential for ensuring that a production runs smoothly, stays on budget, and meets deadlines. Production Coordinators often serve as the central point of contact on set, helping to solve problems as they arise.

What does a production coordinator do?

A production coordinator manages and coordinates a film or television production crew. Their job responsibilities are to supervise production assistants, coordinate scheduling, and track billing. The production manager often gives them additional tasks. A production coordinator splits their time between the set and the production office. They sometimes help with promotion and marketing for the film or television program. The exact duties vary widely depending on the type of work, such as a feature film, independent film, television show, or talk program.

What are the key skills and qualifications needed to thrive as a production coordinator, and why are they important?

To thrive as a Production Coordinator, you need strong organizational abilities, attention to detail, and a solid understanding of production workflows, typically backed by a relevant degree or experience in media, film, or television. Familiarity with scheduling software, budgeting tools, and production management systems such as Movie Magic or StudioBinder is common. Excellent communication, multitasking, and problem-solving skills help you manage teams, deadlines, and unexpected challenges efficiently. These skills and qualities are crucial to ensuring smooth operations, timely project delivery, and effective collaboration within production teams.

What are some common challenges faced by production coordinators, and how can they be managed effectively?

Production Coordinators often juggle multiple tasks under tight deadlines, including scheduling, managing logistics, and communicating across departments. One common challenge is ensuring all team members are aligned despite last-minute changes or unexpected issues. Effective organization, proactive communication, and adaptability are key to overcoming these challenges. Building strong relationships with crew members and anticipating potential bottlenecks can also help maintain a smooth production workflow.

Job description

Job Summary:

Journey Church is seeking a detail-oriented, technically skilled Event Production Coordinator to join our team. This full-time role primarily focuses on owning the technical execution of all church and community events hosted in our facility, serving as a friendly, helpful, and accommodating point of contact for the technical needs of events using our space.

Because event volume fluctuates, the majority of your weekly hours will be spent preparing for our Sunday worship gatherings, working on AVL integration/maintenance projects, and helping shepherd our volunteer production team alongside our Production Director. This role also provides essential scheduling flexibility for the department, including occasionally leading Sunday services to allow the Director time off. The ideal candidate has a passion for technical excellence, a heart for ministry, and thrives in a dynamic team environment.

Key Responsibilities:

Event Technical Ownership

  • Technical Execution: Own the setup, operation, and strike of all audio, video, and lighting systems for mid-week church ministries and outside community organizations (conferences, banquets, weddings, funerals, etc.).
  • Solo & Small Team Management: Act as the primary on-site technician for events, occasionally coordinating part-time production staff or volunteer assistants as needed.
  • Client Coordination: Serve as a welcoming, helpful, and solution-oriented technical contact for event organizers, ensuring their technical needs are met with excellence.
  • Cross-Department Collaboration: Partner with the Operations Pastor and Event Coordinator to manage schedules and review technical requirements well ahead of event dates.

Sunday Prep & Volunteer Shepherding

  • Weekend Readiness: Manage the weekly technical prep for Sunday Gatherings, including stage setups, mid-week rehearsal, sermon graphics, and weekly digital assets (e.g., sermon notes, YouTube descriptions, and slides).
  • Team Co-Leadership: Help train, equip, and shepherd our weekend volunteer production crew, creating a supportive environment where they can thrive.
  • Sunday Rotation: Step into the Sunday production execution and leadership rotation (as scheduling of Saturday events permits) including assuming full responsibility in the absence of the Production Director.

Systems, Integration & Admin

  • Projects & Installs: Collaborate on design, gear replacement, and hands-on integration/installation of new production upgrades throughout the facility.
  • Gear Maintenance: Maintain and troubleshoot campus AVL equipment to ensure high reliability.
  • Stewardship: Assist with budget planning and manage monthly expense reconciliation for role-assigned purchases.

Qualifications & Experience:

  • Technical Competence: Proven experience operating and troubleshooting modern live production environments (audio mixing consoles, video switchers, lighting systems, and software like ProPresenter).
  • 1-3 years of experience in live event production (church, theatre, or corporate) is preferred, but a strong, proven aptitude for technical learning and a servant's heart are most critical.
  • Customer-Service Mindset: Ability to remain calm, friendly, and helpful under pressure when interacting with outside clients and guests.
  • Independent Worker: High degree of self-motivation and the ability to execute events with excellence with minimal supervision.
  • Detail-Obsessed: Strong organizational skills with an aptitude for catching the little things in logistics, handling complex details of system operation, and project management.
  • Ministry Alignment: A clear passion for local church ministry and a commitment to Journey's mission, values, and Statement of Faith. journeybozeman.com/about/our-beliefs/

Working Conditions:

  • Location: This is a full-time position based on-site in Bozeman, Montana.
  • Physical Strength: Ability to safely lift, carry, push, and pull production equipment weighing up to 50 lbs on a regular basis.
  • Mobility: Able to handle the physical demands of stage setups and teardowns-including prolonged standing, walking, bending, reaching, crawling under stages, climbing ladders, and working at heights (aerial lifts) as needed.
  • Sensory & Environment: Comfort working in a fast-paced environment with fluctuating light levels (dark backstage areas, bright stage lights) and high-volume sound environments (hearing protection recommended and provided).
  • Technical Precision: Strong manual dexterity for handling delicate technical gear, cabling, and tools, as well as the visual acuity required to design balanced lighting looks and clean screen layouts.
  • Flexibility: Availability to work irregular hours, including evenings and weekends, dictated by the event calendar. We strive to maintain a 5-day work week, but some weeks those days may vary.

Benefits:

  • Salary Range: $50,000 - $55,000 depending on experience (Full-time, 40-hr/week)
  • Health Benefits: Comprehensive employer-contributed medical insurance options, with multiple plan choices available for individuals and families.
  • Retirement: Church-matched 403B retirement benefits plan.
  • Paid Time Off: Generous PTO/vacation allotment, plus paid holidays.
  • Opportunities for professional development and training in technical skills and ministry leadership.

Application Process:

To apply for the position of Event Production Coordinator, please:

  1. Review the Journey Church Statement of Faith and Values at journeybozeman.com/about/our-beliefs/ to ensure alignment with our ministry's mission and beliefs.
