JOB SUMMARY
Behind every great photo shoot is someone making sure the right product is in the right place at the right time. As our Photo Sample Coordinator, you'll manage the flow of merchandise samples through the photo studio, from arrival and inventory tracking to shoot preparation and return. Your organization and attention to detail will help ensure products are ready when needed and keep our fast-paced creative productions moving smoothly.
You'll work closely with Stylists, Producers, Design, Merchandising, and other creative partners to coordinate samples and support photography for catalogs, eCommerce, and marketing. RESPONSIBILITIES
  • Receive, log, label, and track incoming product samples from Design, Merchandising, vendors, and other partners.
  • Maintain accurate sample inventory and product information within ShotFlow or other studio tracking systems.
  • Organize samples by brand, collection, category, shoot date, and production priority to support efficient studio workflows.
  • Pull and prepare merchandise for upcoming photo shoots based on shot lists, styling requirements, and production schedules.
  • Prepare garments for photography, including steaming, tagging, organizing, and confirming required sizes, colorways, and SKUs are available.
  • Partner with Stylists and Producers to confirm product selections, priorities, timing, and readiness for upcoming productions.
  • Track sample usage and movement throughout the production lifecycle, maintaining accurate records as merchandise moves between teams and shoots.
  • Coordinate the timely return of borrowed and development samples to Design, Merchandising, vendors, and other appropriate partners.
  • Maintain an organized sample room, storage system, racks, studio prep areas, and other back-of-house production spaces.
  • Support day-to-day studio operations by assisting with rack setup, locating samples, communicating missing or delayed product, and responding to changing production needs.

QUALIFICATIONS
Education
Associate's or bachelor's degree in Fashion, Merchandising, or a related field preferred.
Experience
  • 1 to 3 years of experience in fashion retail, product coordination, studio operations, inventory management, or a related environment preferred.
  • Experience handling, organizing, or tracking merchandise or product samples in a fast-paced environment is preferred.
  • Experience supporting photography, eCommerce, fashion, merchandising, or other creative production environments is a plus.

Knowledge, Skills + Abilities
  • Strong organizational and inventory management skills with the ability to maintain accuracy across a large volume of merchandise.
  • Exceptional attention to detail and commitment to product and inventory accuracy.
  • Ability to manage multiple priorities and respond effectively to changing production schedules and needs.
  • Strong communication and collaboration skills with the ability to work effectively across Creative, Design, Merchandising, and other teams.
  • Ability to work efficiently and stay organized in a fast-paced studio and production environment.
  • Strong problem-solving skills with the ability to identify missing products, timing concerns, and other issues that could impact production.
  • Ability to organize merchandise by brand, collection, category, shoot date, and production priority.
  • Comfortable handling merchandise inventory and performing the physical activities associated with organizing and moving product samples and racks.
  • Familiarity with ShotFlow or similar product, sample, or studio management systems preferred but not required.
  • Dependable and proactive approach to supporting production schedules, maintaining organized workspaces, and ensuring samples are ready when needed.
