Position Summary

Prodigy Psychiatric Group is seeking a friendly, organized, and patient-focused Receptionist / Patient Care Coordinator to serve as the first point of contact for our patients. This role is responsible for managing front desk operations, patient scheduling, insurance verification support, appointment coordination, and delivering an exceptional patient experience.

The ideal candidate possesses excellent communication skills, strong attention to detail, and a commitment to providing compassionate service within a behavioral health environment.

Key Responsibilities

Patient Reception & Customer Service

  • Welcome patients, visitors, and providers in a professional and courteous manner.
  • Answer incoming phone calls and respond to patient inquiries promptly.
  • Assist patients with scheduling, rescheduling, and canceling appointments.
  • Maintain a positive and compassionate patient experience at all times.
  • Address patient concerns and escalate issues appropriately.

Scheduling & Appointment Management

  • Schedule new and established patient appointments.
  • Confirm appointments and send reminders.
  • Monitor provider schedules to maximize utilization.
  • Maintain waitlists and assist with filling appointment openings.
  • Support telehealth appointment coordination.

Patient Intake & Registration

  • Collect and verify patient demographic and insurance information.
  • Ensure intake forms and required documentation are completed.
  • Assist patients with onboarding paperwork and portal access.
  • Verify accuracy of patient records within the Electronic Health Record (EHR) system.

Insurance Verification & Administrative Support

  • Verify insurance eligibility and benefits as assigned.
  • Obtain and document authorizations when required.
  • Support front-end revenue cycle processes.
  • Maintain accurate records and documentation.
  • Scan, upload, and organize patient documents.

Clinic Operations

  • Maintain a clean and organized reception area.
  • Support providers and leadership with administrative requests.
  • Coordinate communication between patients, providers, and staff.
  • Participate in team meetings and training activities.
  • Assist with special projects and operational initiatives as assigned.

Qualifications

Required

  • High School Diploma or equivalent.
  • Minimum 1 year of customer service, reception, or administrative experience.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Proficiency with Microsoft Office, Google Workspace, EHR, and general computer systems.
  • Ability to maintain confidentiality and comply with HIPAA regulations.

Preferred
