Job description

Our client in Oakland, is looking for a Sr. Legal Assistant to join the team onsite for a 4-month contract assignment. This role is responsible for preparing and processing legal documents, maintaining confidential records and litigation files, coordinating attorney schedules, conducting legal research, and assisting with trial preparation and discovery activities. The Legal Assistant drafts legal correspondence and pleadings, prepares litigation status reports, manages department records and expense reports, and ensures accuracy through detailed proofreading and document review.

RESPONSIBILITIES:

• Serve as an administrative support position in the Legal Department by performing a wide variety of difficult and confidential office clerical and paraprofessional legal administrative support duties

• Provide training to lower level legal assistants in para-professional level functions

• Exhibit familiarity with Legal Department functions; do para-professional level research and compile data for reports and other materials

• Maintain appointment schedules/calendars; provide administrative support to assigned attorney; organize and index documents for legal files

• Prepare litigation status reports

• Perform clerical duties such as typing, filing and distributing mail

• Type letters, reports, memoranda, legal opinions, legal correspondence, motions, briefs, and other legal and non-legal documents

• Under general supervision, prepare pleadings and legal notices connected with trial preparation and discovery

• Draft responses to legal pleadings and discovery requests

• Proofread for accuracy, correct form, content and proper English usage

• Transcribe deposition and arbitration summaries prepared by attorneys

• Complete and submit expense reports; maintain department records

• Build and maintain positive working relationships with co-workers, other employees and the public using principles of good customer service

QUALIFICATIONS:

• High school diploma or equivalent (completion of the 12th grade required).

• Additional coursework, certification, or training in Legal Studies, Paralegal Studies, Business Administration, Office Administration, or a related field preferred.

• 4–7 years of progressively responsible experience as a Legal Assistant, Legal Secretary, Litigation Assistant, or in a related legal support role.

• Experience supporting attorneys in litigation, trial preparation, discovery, and legal document management.

• Experience preparing pleadings, legal notices, motions, briefs, legal correspondence, and other court-related documents.

• Strong knowledge of legal terminology, court procedures, litigation processes, and discovery requirements.

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal document management systems.

• Ability to conduct legal research and compile information for reports and legal documentation.

• Excellent proofreading, grammar, formatting, and document preparation skills.

• Strong organizational skills with the ability to manage multiple priorities, calendars, deadlines, and confidential information.

• Ability to prepare litigation status reports and maintain accurate legal records and files.

PHYSICAL REQUIREMENTS:

• May be tasked with lifting, carrying, pushing or pulling up to 25 lbs., if able to do so.

• Must be able to sit for prolonged periods of time and walk/stand for moderate periods of time.

• Must be able to bend at the knees and waist frequently

• Must be able to repetitively use a telephone and a computer mouse and keyboard.
