The Study Abroad Enrollment Manager provides direct services and advising to students who apply for, participate in, and return from study abroad and domestic study away programs. The position is responsible for reviewing applications, including verifying eligibility, managing student acceptances, that includes monitoring completion of required forms and activities, managing the evaluation of student program courses for UW-Madison credit, and working directly with the UW-Madison Office of the Registrar for the verification and posting of students courses, credit, and grades completed on study abroad programs. This position is a multi-functional position within International Academic Programs (IAP), a unit in The International Division, which serves as the largest study abroad office at UW-Madison. IAP administers more than 260 campus-wide study abroad & domestic study away programs and annually sends over 2,900 UW-Madison students abroad. Tasks:

  • Manage application, acceptance, and enrollment processes for a portfolio of study abroad and domestic study away programs
  • Manage course equivalents and equivalent requests for the program portfolio; Consult with academic departments about course evaluations
  • Develop and maintain program grade and credit conversion scales (academic notes)
  • Process each participants academic record or final transcript from each program; Ensure approved course equivalents and converted grades and credits post correctly to each students UW-Madison transcript
  • Advise students on program eligibility requirements, eligibility appeals, application process, post acceptance steps, course equivalents, grade and credit conversions, and grade disputes
  • Archive and maintain student records consistent with UW-Madison and UW System policies
  • Work collaboratively with department staff on various academic and administrative services relating to programs
  • Participate in office committees, working groups, and department strategic planning to help with program and office administration
  • Assist with special events and outreach activities, including the Study Abroad Fair and potentially other activities such as information sessions or general advising
  • Support student staff training; May assign student staff projects to support the work of professional staff

This is a hybrid position which will require a combination of in-person work on-campus and remote work.

Key Job Responsibilities:
  • Provides guidance and reviews documentation for registration and academic credit transfer requirements according to policies and procedures for international travel and study
  • Identifies, plans, and delivers international education programming
  • Advises domestic students about international study opportunities
  • Counsels international students and support systems on cultural adjustments, policies, and procedures
  • Identifies and refers students to appropriate institutional resources and follows-up on referrals
