As a Talent Acquisition Coordinator, you play a critical role in the effective and welcoming onboarding process of newly hired employees. This role involves developing and executing effective onboarding strategies, ensuring a positive candidate experience throughout the hiring process, assist Talent Acquisition Specialists in identifying, screening, and attracting qualified candidates.


What you will be responsible for:

Orientation & Onboarding

  • Complete orientation process for new hires, including in-person and virtual group presentations.
  • Act as a primary contact for new hires, answering questions, addressing concerns, and providing guidance during the orientation.
  • Welcome new hires upon arrival and provide them with an office tour and presentation.
  • Ensure completion of mandatory training and certifications.
  • Coordinate with various departments and hiring managers to ensure all necessary equipment, access, and resources are ready for new hires on their start date.
  • Maintain and update onboarding materials and processes.

Talent Acquisition

  • Assisting Talent Acquisition Specialists with day to day recruiting activities.
  • Utilize various sourcing methods such as job boards, social media, networking, and industry events to identify and engage potential candidates.
  • Conducting and tracking reference checks.
  • Assisting with various administrative tasks, including but not limited to: creating weekly recruitment reports, tracking sign-on and referral bonuses, creating email signatures, and providing feedback on new hires to their respective managers.
  • Assist with the creation and distribution of internal communication for vacant positions.
  • Proactively contact qualified individuals who have completed our organization's TCP course to determine if they are seeking employment opportunities.
  • Attending company events and making an outdoor presence at hiring events with Talent Acquisition Specialists.

Candidate Experience

  • Ensure a positive and seamless candidate experience from initial contact through the entire onboarding and process.
  • Provide timely communication, feedback, and updates to new hires.
  • When applicable, consider candidates for different positions based on their skills and qualifications.

Compliance and Diversity

  • Ensure adherence to relevant labor laws and regulations while promoting diversity and inclusion in all aspects of the onboarding process.

What we need from you:

  • Proven experience as a Recruitment Coordinator or similar role, ideally in a high-volume and fast paced environment is a strong asset.
  • 6 months to 1 year+ of experience in administrative roles and with public speaking is preferred.
  • A Bachelor's degree in Human Resources, Business Administration, or a related field is an asset.
  • Strong knowledge of modern onboarding practices, tools, and technologies.
  • Strong computer literacy.
  • Proficiency in applicant tracking systems (ATS) and other HR software.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Strong presentation and public speaking skills are essential.
  • Strong problem-solving skills and the ability to adapt to changing needs.
  • Ability to build rapport with candidates and hiring teams.
  • Exceptional time management and organizational skills.
  • High level of discretion and confidentiality in handling sensitive information.


Where/When you will be working:

  • 3 days a week minimum in office is required.
  • Typical office environment with standard working hours of Monday to Friday from approximately 8am to 4:30pm.
  • Visiting various satellite office locations in the lower mainland is required.
