What does a privacy associate do?

A Privacy Associate is responsible for supporting the development, implementation, and maintenance of an organization's privacy program. Their duties often include monitoring data handling practices, ensuring compliance with privacy laws and regulations, conducting privacy impact assessments, and helping to educate staff on best privacy practices. They may also assist in responding to data subject requests and incidents involving personal data. Privacy Associates work closely with legal, compliance, and IT teams to protect sensitive information and reduce privacy risks.

What are the key skills and qualifications needed to thrive as a privacy associate, and why are they important?

To excel as a Privacy Associate, you need a solid understanding of data protection laws (such as GDPR and CCPA), risk assessment, and privacy compliance, typically supported by a degree in law, information security, or a related field. Familiarity with privacy management tools, data mapping software, and certifications like CIPP or CIPM is highly valuable. Strong attention to detail, analytical thinking, and effective communication skills are essential for interpreting regulations and collaborating with stakeholders. These skills are crucial for ensuring organizational compliance, protecting sensitive information, and maintaining trust with clients and regulators.

What are some typical challenges a privacy associate might face when working with cross-functional teams?

Privacy Associates often collaborate with departments like IT, Legal, Marketing, and HR to ensure compliance with privacy regulations. A common challenge is bridging the gap between technical and legal perspectives, requiring clear communication and a strong understanding of both data protection laws and business processes. Additionally, prioritizing privacy initiatives while balancing competing business needs can be complex. Successful Privacy Associates are proactive, adaptable, and skilled at building consensus among diverse stakeholders.

Overview

The Data Privacy Steward is responsible for supporting the data privacy program activities established by the Global Data Privacy Office (GDPO) and executed through the Global Data Privacy Operations (GDPOps) team. This role leads core data privacy activities within their agency and reports on key metrics to track program status and progress. The position requires coordination across all levels of the business, including (but not limited to) Client Services, Practice teams, and Finance. The Data Privacy Steward works closely with the GDPOps team and the Data Privacy Program Lead.

Responsibilities

 Program Support

  • Ensure the Data Privacy Steward appointment is formally announced across the agency.
  • Serve as the primary point of contact for all privacy-related questions and issues.
  • Support the Data Subject Access Request (DSAR) process-ensuring requests reach the correct departments, searches are completed, and findings are reported. Where applicable, ensure fulfillment of data subject rights (deletion, rectification, etc.).
  • Attend all GDPOps-scheduled Data Privacy Steward meetings and contribute to discussions.
  • Assist in coordinating local privacy training in partnership with GDPO and GDPOps.

Client / Business Support

  • Support client-facing teams by ensuring timely responses to privacy-related inquiries following the Engagement Workflow.
  • Coordinate resolution of client concerns-including questionnaires, assessments, audits, and informal questions-working with GDPOps, GDPO, GSO, and relevant business teams.
  • Advocate for the agency's needs to ensure teams can serve clients effectively and efficiently.

Data Inventory

  • Complete and maintain the client and services roster using the approved template, updating it as new clients onboard or transition out.
  • Train Data Inventory respondents (with GDPOps support) to ensure readiness.
  • Serve as the primary contact for respondent questions, addressing issues directly and escalating to GDPOps as needed.
  • Track Data Inventory progress and escalate non-completion to appropriate leadership.

Proprietary Product Due Diligence

  • Maintain an up-to-date roster of proprietary products and product owners.
  • Ensure all proprietary products undergo required data privacy compliance assessments.
  • Facilitate additional privacy and security reviews when necessary, including Data Privacy Impact Assessments (DPIAs).
  • Submit completed DPIAs to GDPO for review and support the implementation of recommended actions.
  • Promote Privacy-by-Design practices in product development and records retention.

Vendor Due Diligence

  • Using Personal Data Inventory submissions, maintain a list of all vendors processing personal data and requiring Vendor Due Diligence.
  • Gather and maintain vendor contact information.
  • Provide vendor details to GDPOps for assessment deployment and follow up with non-responsive vendors as requested.
  • For in-scope vendors, coordinate with GSO to ensure required security reviews are completed.
Qualifications

Technical & Privacy Knowledge

  • Solid understanding of fundamental data privacy concepts and familiarity with key global privacy legislation.
  • Ability to quickly learn and adapt to new technologies, systems, and tools.

Program & Project Management

  • Strong organizational and program management skills with the ability to manage multiple deadlines and deliverables.
  • High attention to detail, analytical thinking, and problem-solving ability.
  • Able to influence and drive accountability across teams.

  • Understanding of agency operations, service offerings, workflows, and proprietary tools/products.
  • Ability to ensure accuracy, quality, and relevance of privacy deliverables.

Seniority Expectations

  • Senior Associate-level role with demonstrated ability to work independently while coordinating across multiple business functions.
  • 2-3 years of professional experience, ideally in roles involving:
    • Program management, project coordination, or operational oversight
    • Data privacy, security, legal, compliance, technology, or related areas
    • Client service or cross-functional collaboration within an agency or similar environment
