Office Services Associate

Qualifications
  • The Office Services Associate provides office operations support through document production, mail services, hospitality, and workplace services. This role is responsible for operating high-volume copy and scanning equipment, processing mail and shipments, maintaining office equipment, and supporting conference rooms, reception, and hospitality functions. The ideal candidate is dependable, customer-focused, adaptable, and committed to delivering exceptional service in a professional office environment.
    Responsibilities
  • Operate high-volume copy machines, scanners, and image handling software.
  • Perform document production, including copying, binding, and finishing.
  • Process incoming and outgoing mail, packages, faxes, and shipping requests.
  • Operate Microsoft Office applications, email systems, and office equipment.
  • Perform daily inspections of copiers, clear paper jams, and coordinate equipment service as needed.
  • Maintain records, billing logs, service logs, and inventories of office supplies.
  • Distribute office supplies, mail, and fax transmissions to designated locations.
  • Deliver completed jobs throughout the office and support filing and document archiving activities.
  • Operate bindery and finishing equipment, including shrink-wrap machines, paper cutters, hole drillers, joggers, tape machines, stackers, electric staplers, scales, postage meters, and related office equipment.
  • Set up and dismantle conference rooms for meetings and events.
  • Clean and maintain pantries, kitchens, visitors' offices, and other hospitality areas.
  • Serve as backup reception support when needed.
  • Contribute to hospitality and workplace support services while maintaining a professional environment.
  • Respond to customer inquiries and coordinate service requests.
  • Maintain organized, stocked, and functional copier and work areas.
  • Perform other duties as assigned.

  • Minimum Qualifications
  • High school diploma, GED, or equivalent work experience.
  • Basic computer proficiency, including Microsoft Office Suite.
  • Technical aptitude with printers, copiers, scanners, postage machines, and other office equipment.
  • Strong customer service and communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to quickly learn new processes and adapt to changing priorities.
  • Reliable, dependable, and professional with a strong work ethic.
  • Ability to stand, walk, bend, reach, and perform physical tasks throughout the workday, including lifting up to 50 pounds as needed.
  • Ability to work effectively in a fast-paced office environment.
  • Preferred Qualifications
  • Previous experience with copy, print, scanning, mail services, or office operations.
  • Experience supporting hospitality, conference room setup, reception, or workplace services.
  • Valid driver's license if required by company policy.
