Job description

Property Prep Manager


Location: Santa Cruz County, CA

Compensation: $71,000 / year (Salaried, Full-Time, Exempt)


About the Role

We provide a concierge-level listing preparation service, managing everything required to get a home market-ready before it is listed for sale. As the Property Prep Manager, you will own this process from the initial listing agreement through the close of escrow.

You will coordinate inspections, develop project plans, obtain bids, manage contractors, oversee timelines, track budgets, coordinate staging and photography, handle invoicing, and ensure each property is completed on schedule and to our standards.

This is a highly collaborative, field-based role requiring daily coordination between homeowners, listing agents, the Financial Operations Manager (FOM), external vendors, and other team members.


Key Responsibilities

  • Project & Timeline Management: Own the end-to-end scheduling and timeline for all projects leading up to a home's listing, including inspections, cleanings, repairs, staging, and photography.
  • Financial Operations (AP/AR): Manage full-cycle Accounts Payable and Accounts Receivable for the property prep department, working closely with the FOM to track estimates, budgets, vendor payments, and submit escrow demands.
  • Cross-Functional Collaboration: Serve as the central communication hub between the listing team, operations staff, and external clients and vendors to ensure no detail is missed.
  • Field Operations & Client Relations: Travel throughout the county to visit properties, conduct initial and final walkthroughs, meet and communicate directly with clients, and ensure quality control of contractor work.
  • Vendor Management: Source, vet, and maintain relationships with trusted contractors, inspectors, cleaners, and stagers. Issue RFBs (Request for Bids) and keep all vendor documentation up to date.


Qualifications & Requirements

  • Experience: 2+ years of experience in construction coordination, property management, residential remodeling, real estate operations, or project management is highly preferred.
  • Tech Stack Fluency: Strong proficiency in Airtable (or similar relational databases). Must be highly comfortable using Google Suite, Dropbox, and Slack for daily file management and communication.
  • Project Management Skills: Highly organized, proactive, and detail-oriented. You must be able to manage multiple moving parts and overlapping properties simultaneously without constant supervision.
  • Driving & Mobility: A valid standard driver's license (Class C) and a clean driving record are required. This role involves frequent local travel to properties and may occasionally require driving a truck or towing a trailer for light material transport or dump runs.
  • Communication: Exceptional written, verbal, and follow-up skills. Comfortable holding vendors accountable, negotiating bids, and presenting financial details to clients.
  • Certifications: Formal project management training or certifications (CAPM, PMP, or equivalent) is preferred.


Compensation & Benefits

  • Salary: $71,000 annual base salary.
