Job description

We are looking for a highly organized Office Coordinator to support daily operations and provide executive-level assistance in Providence, Rhode Island. This Long-term Contract position is ideal for someone who can manage shifting priorities, maintain a well-run office environment, and contribute to both administrative and event-related needs. The role requires strong attention to detail, sound judgment, and a proactive approach to supporting leadership and internal workflows.
Responsibilities:
• Oversee routine office and facility coordination to help maintain an organized, efficient, and detail-focused workplace.
• Prepare and format engagement-related documents and correspondence with a high degree of accuracy and consistency.
• Provide direct administrative support to the president, including scheduling, meeting coordination, and follow-up on key tasks.
• Enter, organize, and validate data while producing reports for review and operational tracking.
• Coordinate logistics and on-site activities for scheduled events, serving as a point person on the day of execution.
• Assist with calendar management and executive meeting preparation to ensure leadership stays aligned on priorities.
• Handle a variety of administrative assignments and adapt quickly as business needs shift across the office.
• Review documents and internal materials carefully to ensure completeness, accuracy, and quality.• Proven experience in office coordination, administrative support, or executive assistant functions.
• Strong calendar management and executive meeting support skills.
• Ability to draft business documents and correspondence with precision and professionalism.
