About the Role: 

Serve as a PMO Analyst supporting enterprise program and project management activities within a complex Federal business systems environment. The PMO Analyst will work closely with the Program Manager, Federal Project Leads, and other stakeholders to coordinate projects, maintain schedules and documentation, track risks and issues, prepare management reports, and support established governance and project lifecycle processes.

The ideal candidate combines strong project management and analytical skills with the ability to organize information, coordinate across multiple stakeholders, and produce high-quality management documentation. 

• Supports day-to-day PMO operations, project coordination, governance, reporting, and documentation across a portfolio of initiatives.
• Helps ensure projects remain organized, risks and issues are visible, required documentation is maintained, and leadership has accurate information to support decision-making.

Roles & Responsibilities: 

• Support Program Managers and Federal Project Leads in the planning, coordinating, monitoring, and reporting on multiple projects and program activities.  
• Develop, maintain, and update project schedules, milestones, action items, dependencies, and key deliverables.  
• Track project risks, issues, decisions, and action items and coordinate with responsible stakeholders to support timely resolution.
• Prepare weekly and monthly project and portfolio status reports, management briefings, presentations, and other reporting materials.
• Support project meetings, governance reviews, and working sessions, including preparation of agendas, meeting materials, minutes, decisions, and follow-up actions.
• Assist project teams in developing and maintaining project management documentation, including project charters, business cases, project plans, risk registers, schedules, and other required artifacts.
• Support EPLC activities, including coordination and preparation for stage gate reviews and maintenance of required lifecycle documentation.
• Assist with portfolio-level reporting and the collection, validation, and consolidation of project performance information.
• Support development and maintenance of standard and repeatable PMO practices, processes, templates, tools, and guidance.
• Maintain organized project and program documentation within SharePoint Online and other approved collaboration environments.
• Support the maintenance and improvement of the Program Resource Library and other project knowledge repositories.
• Coordinate with project managers, Federal staff, technical teams, business stakeholders, and other contractors to support successful project execution.
• Assist with quality reviews of project documentation and deliverables for completeness, accuracy, consistency, and compliance with established standards.
• Support organizational change, communications, stakeholder coordination, and continuous process improvement activities.
• Respond to ad hoc requests for project, portfolio, and management information from program leadership.

Required Professional Skills: 

• 3-7 years of experience supporting a PMO, project management organization, program office, or complex project environments.  
• Experience supporting multiple concurrent projects, workstreams, or organizational initiatives.  
• Working knowledge of project management principles, practices, and lifecycle methodologies.
• Experience developing and maintaining project schedules, status reports, risk and issue logs, action item trackers, and project documentation.
• Experience coordinating meetings, documenting decisions, tracking follow-up activities, and working across multiple stakeholder groups.
• Strong proficiency with Microsoft Word, Excel, PowerPoint, Teams, and other Microsoft 365 productivity tools.
• Ability to collect, organize, analyze, and present project and program information for both working-level and management audiences.
• Strong written communication skills with demonstrated ability to develop clear, concise, and professional project documentation.
• Strong organizational skills and attention to detail.
• Ability to prioritize and manage multiple assignments in a fast-paced environment.
• Ability to work collaboratively with Federal employees, contractors, technical teams, and business stakeholders.

Preferred Professional Skills: 

• Experience supporting HHS, NIH, or another Federal agency.
• Knowledge of the Enterprise Performance Life Cycle (EPLC) framework and associated project documentation and stage gate processes.
• Experience supporting Federal IT programs or business system initiatives.
• Experience using SharePoint Online to organize and maintain project documentation, collaboration sites, document libraries, and program resource repositories.
• Familiarity with Agile, Waterfall, and Hybrid project management methodologies.
• Familiarity with Earned Value Management (EVM), Capital Planning and Investment Control (CPIC), or Federal IT investment management processes.
• Experience supporting project governance, quality management, risk management, or organizational process improvement initiatives.
• Familiarity with Microsoft Project or similar project scheduling tools.
• CAPM, PMP, Scrum, or other relevant project management certification preferred.
