Job Title: Miscellaneous Wage, Admin- Program Assistant

Department: Physics and Astronomy

Hourly Rate: $18.00 per hour, commensurate with experience

Schedule: 5-10 hours per week

This is a part-time, non-benefited position.

Context of the Job

Delaware Space Grant Consortium is seeking a program assistant to help with organizing electronic program records, improving communication with our students and faculty, and hosting program events.

Responsibilities

  • Enroll students and other vendors with procurement       
  • Manage and track document submissions including
    • Signed offer letters
    • Applications with attachments
    • Reimbursement forms
    • Research and Experience reports
    • Research Posters
  • Manage travel planning including
    • Booking lodging
    • Paying conference and workshop registrations
    • Educating students on travel plans and policies
  • Manage opportunity advertisements
    • Physical mailings and postings
    • Email list management  
    • Manage dissemination requests from partners                  
  • Manage student data records spreadsheets         
  • Update website
  • Post to Facebook, Instagram      
  • Assist with event management  
    • Annual symposium
    • Annual board meeting
    • Student recruitment events
  • Collect and electronically file student application and report submissions
    • Update student data spreadsheets
    • Assist with student and faculty travel booking and reimbursements

 Qualifications

  • Minimum of HS diploma or GED required.
  • Basic proficiency with Microsoft Office applications (e.g., Word, Excel, Outlook, and PowerPoint).
  • Experience working with WordPress or similar website content management systems.
  • Experience with University of Delaware Procurement processes or similar purchasing/procurement systems is preferred.
  • Strong organizational skills with the ability to maintain accurate records and manage administrative tasks.
  • Attention to detail with the ability to identify and correct errors, broken links, and missing content on websites.
  • Ability to track, organize, and manage student submissions while maintaining accurate records.
  • Strong written communication and problem-solving skills.
  • Ability to work independently and manage multiple tasks effectively.
