Job description

Photo Department Image Coordinator

Required Education:
Bachelor's Degree or Equivalent Higher Education

Required Experience:
3+ years relevant administrative experience or equivalent combination. Must have experience in data organization & file management. Must be Microsoft Excel and Google Sheet proficient.

Role Overview:

We are looking for a meticulous, process-driven individual to join our Photo Department. In this role you will be ingesting images keeping records and troubleshooting issues within our visual library. The ideal candidate finds genuine satisfaction in turning high-volume data chaos into a streamlined, searchable, and perfectly indexed ecosystem.

Required Skills, Knowledge and Abilities:
Excellent interpersonal and writing skills. Detail oriented. Efficient operating within spreadsheets and file databases. Able to analyze, interpret and relay data. The ability to examine and ingest project data and relay to Department Manager. Experience utilizing AI for automation and streamlining workflows is a huge plus. Knowledge of folder hierarchies, server structures (NAS), and file formats (RAW, TIFF, JPEG, PSD).

Key Responsibilities

  • Asset Processing: Organize and upload high volumes of imagery from multiple sources, ensuring every file follows strict naming conventions.
  • Archive Maintenance: Manage the long-term storage and migration of legacy files, ensuring no data is lost or corrupted over time.
  • Quality Control: Audit incoming batches for consistency, identifying duplicate files, low-res placeholders and file naming errors.
  • Internal Support: Act as the "librarian" for the creative team, fulfilling image record keeping and assisting the Photo Dept Manager with high volume projects.
